JOB TITLE: SPECIAL EVENT AND RECREATION COORDINATOR
DEPARTMENT: CIVIC AFFAIRS AND RECREATION
HOURS: FULL TIME
Cape May Convention Hall is seeking a Special Event and Recreation Coordinator. Under direction, coordinates, promotes, and supervises Special Event and Recreation programs designed specifically for community, agency, or facility participation; promotes public relations within the community, agency or facility; may also manage the operation of the building used to hold these events, formulating plans for effective utilization of available funds, personnel, equipment, materials, and supplies; does other related duties as required.
REQUIREMENTS:
- Knowledge of Microsoft Office, Canva, SmartDraw
- Reports to Recreation Director and Assistant Director of Civic Affairs, Marketing and Tourism
- Assists RD with Supervising all Recreation Programs, Staff and Marketing
- Assists RD with Planning, Developing, Organizing, Implementing and Promoting a variety of Community Service and Recreation Programs and Events alongside the Recreation Director
- Monitors Program Activities to Ensure Efficiency and Reports Concerns and Feedback to Recreation Director
- Research and Develop New Recreation Activities
- Assists in the Development of Policies and Procedures and Ensures Efficiency – SOP’s; RecDesk, etc.
- Marketing (with Director and Asst. Director) – Responsible for all Recreation Public Notification (Schedules, Closures, etc.)
- Ensures Staff Schedules, Program Schedules and Protocol are Accurate (Public Schedules, Shared Drive Input and Updates)
- Ensures Staff Shared Drive with Contact Information
- Assists RD to Provide Assignments and Instructions to Recreation Staff
- Assists RD with Preparing Staff Performance Evaluations to be reviewed with Director of the Department
- Requests Needed Resources
- Assists RD with Consistent and Accurate Financial and Participation Tracking
- Assists RD to Supervise the Establishment and Maintenance of Files
- Assists with Maintaining Recreation Department Facilities including (but not limited to) Cape May Convention Hall, Cape May Elementary School Pool, Kiwanis Park, Lafayette Street Park, Rotary Park, Hall at United Methodist Church, Cape May Community Center
- Recreation Program Planning and Operations
- Event Planning and Operations including but not limited to:
- Event Sales – Networking and Solicitation, Lead Development, Site Tours, Follow Up, Contracts, Payments, etc.
- Plans, Develops, Organizes, Implements and Promotes Civic Events
- Plans, Develops, Organizes, Implements and Promotes Concerts
- Main Point of Contact for Designated Events
- Responsible for all Event Coordination (set up, vendor needs, client needs, staffing, etc.)
- Monitors Onsite Event to Ensure Efficiency
- Research and Develop New Events
- Participates in the Development of Policies and Procedures and Ensures Efficiency – SOP’s, BEO’s, Floorplans, Event List, Teams Calendar
- Responsible for Event Sales including Deposits and Payments
- Conducts Outreach with Users, Donors, Sponsors and Community Groups
- Establishes Schedules and Protocol for Events
- Establishes Staff Schedules and Monitors for Payroll Purposes (Shared Drive Input and Updates)
- Provides Assignments and Instructions to Co-Workers
- Requests Needed Resources
- Consistent and Accurate Financial and Participation Tracking

- Available All Hours with use of City Cell Phone
- Maintain Facilities including (but not limited to) Cape May Convention Hall and Rotary Park
- Event and Recreation Marketing (with Director and Asst. Director) – Responsible for all Event Public Notification (Schedules, Updates, etc.)
- Facilities Support
- Assists with Cleanliness, Organization and Inventory
- Front Desk
- Phone Calls and Customer Service
PREFERRED QUALIFICATIONS:
- Previous Event and Recreation experience.
PHYSICAL DEMANDS:
- Must be able to lift and carry 30 lbs.
- Must be able to walk, climb, bend, and stoop to complete tasks.
STAFF DEVELOPMENT:
- Must act and represent the City of Cape May in a positive and professional manner.
- Maintain a standard of performance on daily tasks.
- Attend regularly scheduled departmental meetings for all areas necessary.
- Maintain communication with other Recreation staff members and your supervisors.
- Communicate clear and concise information as needed to patrons, students, emergency medical service personnel and police services.
- Adhere to all Cape May Recreation guidelines and non-negotiables.
