Provides administrative support to the Director of Public Works /City Engineer and other Public Works Department staff. Serves as Recording Secretary for Planning & Public Works Committee. Assists with the creation of bid documents. Processes various permits for the Public Works Department. Assists with administration of the Sewer Lateral Program, Salt Co-op, Street Tree Program, Driveway Apron Snow Removal Program, and the Private Street Snow Removal Recoupment Program.
Principal Duties and Responsibilities
Provides administrative support to the Director of Public Works /City Engineer and other Public Works Department staff. Receives telephone calls and handles inquiries as appropriate. Generates staff and resident work order requests. Proofreads and processes outgoing mail. Files documents for the Public Works Department, including creating files, as necessary.
Prepares meeting packets and meeting summaries for bi-monthly Planning & Public Works Committee meetings. Provides back-up for other evening meetings as needed.
Prepares bid documents, assists at bid openings and compiles data on bids received.
Assists with administration of the Sewer Lateral Program, Salt Co-op, Driveway Apron Snow Removal Program, and the Private Street Snow Removal Recoupment Program.
Processes and maintains tracking system for various permits, reports, bonds, and certificates of insurance.
Updates the Department’s website as necessary.
Assists in archiving of documents, plans and files.
Assists other employees with workload as needed.
Performs all other related duties as assigned.
Skills, Knowledge and Abilities
Ability to work independently, make independent judgments, and work well with others. Demonstrates initiative. Learns quickly and adapts to changing situations. Work may include the performance of delegated administrative tasks in contrast to more general clerical responsibilities.
Experience in preparing detailed meeting summaries is desirable. Knowledge of Windows-based word processing, spreadsheet, and database applications. Proficient typing and proofreading skills required, along with knowledge of general office procedures, business English, spelling, basic math, and grammar. Ability to operate related office equipment including, copiers, scanners, and calculators.
