Parts Coordinator
JOB TITLE: Parts Coordinator
CLASSIFICATION: Non-Exempt
DEPARTMENT: Fleet Maintenance
SUPERVISOR: Fleet Manager
SALARY: $39,749 to $55,648 Annually
GENERAL JOB DESCRIPTION
Oversee the ordering, receiving, issuing and inventory of materials, supplies, parts, tools and equipment for the Fleet Maintenance Division. Perform responsible clerical duties in support of the materials control function.
PRIMARY DUTIES AND RESPONSIBILITIES
- Receive, stock, and issue parts, supplies, and equipment; tag, sort, and locate miscellaneous inventory.
- Assist in moving, cleaning, and retagging as necessary.
- Maintain an inventory of supplies, parts, tools, and equipment; enter data into inventory records and perform routine physical inventory of materials, record data on a computer database.
- Prepare work orders and requisitions for purchases, coordinate equipment and parts orders with various fleet maintenance shops.
- Close work orders with correct labor and parts to be charged out.
- Process invoices, claim vouchers, and purchase orders ensuring appropriate approvals are obtained; requisition and purchase a variety of supplies.
- Participate in record keeping activities related to the requisition of materials; enter data to debit various departments for materials and supplies.
- Maintain a variety of files and records; verify accuracy of information; research discrepancies; update records.
- Perform the research of items to obtain costs; work with a variety of vendors; work in ordering and returning items.
SECONDARY DUTIES AND RESPONSIBILITIES
- Perform maintenance of the parts room.
- Pick-up parts and vehicles as required.
- Perform other duties and responsibilities as required.
KNOWLEDGE, SKILLS AND ABILITIES
- Knowledge of general warehousing and inventory procedures.
- Knowledge of mathematical principles and ability to perform simple arithmetic computations.
- Knowledge of occupational hazards and standard safety practices.
- Knowledge of modern office procedures and administrative office support principles and practices.
- Knowledge of record keeping principles for simple records and inventories.
- Knowledge of business letter writing principles and basic report preparation.
- Knowledge of English usage, spelling, grammar, and punctuation.
- Knowledge of a variety of parts including vehicle.
- Skills in performing technical work activities involving procurement of materials, parts, and supplies.
- Skills to organize, stock and issue supplies and equipment.
- Ability to understand pertinent Federal, State, and local laws, codes, and regulations.
- Ability to communicate clearly and concisely, both orally and in writing.
- Ability to understand and follow oral and written instructions.
- Ability to establish and maintain effective working relationships.
QUALIFICATIONS FOR THE JOB
Required:
High school diploma or GED. Wyoming driver’s license within six (6) months of hire.
Preferred:
Two (2) years of general procurement experience.

The employee is also required to maintain the physical condition necessary for operating assigned equipment, walking, standing, kneeling, repeated bending or sitting for prolonged periods of time and lifting to 50 pounds. Maintain mental capacity which allows the capability of making sound decisions demonstrating intellectual capabilities.
Working Environment:
Exposure to loud noises, smoke, fumes, hazardous materials, and working machinery. Be available to be contacted by phone in case of an emergency.
