Job Summary
We are seeking an organized individual to provide clerical support and assistance to City Hall staff, including the Mayor and the Public Works Director. This individual will perform a variety of routine record keeping functions, answer telephones, greet the public, receive and process permit applications, maintain business licenses and perform other duties as assigned.
Responsibilities
- Perform routine clerical duties, including: answering and routing incoming calls; receiving the public to answer questions or refer to other persons, as appropriate; provide excellent customer service; complete data entry, some bookkeeping duties and filing; maintain and order department supplies; receive and distribute incoming mail, and assist with outgoing mail; compose, type and edit a variety of correspondence, reports, forms and other documents.
- Enter building permit information into the permit software.
- Maintain contractor license information in the building permit software.
- Set up new building permits. Supply building permit reports to media and others upon request.
- Assist the Public Works Director in preparing reimbursement requests to state and federal agencies on a required schedule.
- Assist in processing applications for zone changes, short plats, boundary line adjustments, variances, street and alley vacation, SEPA checklist, and maintaining files and records of said applications.
- Assist in processing pay requests and estimates to contractors and consultants on an as needed basis. Maintain files and records of said requests and estimates.
- Assist in preparing legal advertisements, submitting advertisements to the local newspaper, and maintaining records of said advertisements.
- Maintain plan library, including: Scanning plans into electronic format; Maintaining files and records for the plan library.
- Serve as secretary and take minutes of the Public Works Committee and of the Planning and Zoning Committee.
- Assist public with basic zoning questions.
- Interpret regulations and ordinances.
- All other duties as assigned.
Qualifications
- High school diploma or equivalent
- Three years paid responsible clerical, secretarial or administrative training preferred.
- Working knowledge of computers and electronic data processing, including experience with: Microsoft Office Suite; Modern office practices and procedures; some knowledge of basic bookkeeping.
- Skill in operation of a variety of office tools and equipment.
- Ability to provide customer service in a professional and cooperative manner.
- Ability to communicate effectively verbally and in writing, with the public and with coworkers.
- Ability to work efficiently and accurately in a fast-paced office environment that may have frequent interruptions.
- Ability to handle stressful situations.
Requirements
- Valid state driver's license with a good driving record.
Pay Range: $3827.00 to $4833.00
