Intake Coordinator
Under administrative direction, is responsible for planning and adminstering a specific project or program for a City department. Serves as the administrative supervisor on projects or programs. Plans, assigns, supervises, and reviews activities of subordinate personnel. Monitors the project or program's operating budget and assists in the annual preparation of same. Designs, implements, and monitors procedures utilized in program evaluation. Develops and secures commitments from other City departments and agencies to provide services to program participants. Provides technical assistance or reviews program policies and procedures. Maintains current information and oversees the preparation of project status reports. Prepares financial and narrative reports and program applications. Communicates project/program status and information to municipal officials and/or public and private entities. May supervise employees assigned to the respective project. Performs other related duties as required.A High School Diploma or GED is required. A Bachelor's Degree from an accredited four year college or university in Business or Public Administration, Social Sciences, or closely related field preferred. Two (2) years of full-time, paid, progressively responsible experience in program administration is required. Must be able to lift and carry thirty (30) pounds. A valid State of Ohio Driver's License is required.POSITION DESCRIPTION:
The Intake Coordinator will be responsible for handling all complaint intake within the Office of Professional Standards (OPS). This includes telephonic, emailed and in-person interaction with complainants.

DUTIES:
 The Intake Coordinator will accept phone calls, email and in-person complaints filed with OPS. This position will require the entire complaint process to be outlined to the complainant at the inception of the complaint. Once the complaint is received, the Intake Coordinator will determine if the allegations fall within the jurisdiction of the complaints investigated by OPS. The Intake Coordinator will be responsible for utilizing IA Pro to determine whether the complainant has already filed a complaint about the allegation. If the complaint is received telephonically, the Intake Coordinator will obtain details about the complaint and allegation(s) to include identifiable information about the sworn or non-sworn members of the Cleveland Division of Police. Once all information regarding the allegation(s) has been accurately documented, the Intake Coordinator will provide a complaint number to the complainant.

Upon review of the complaint, the Intake Coordinator will initiate the process of acquiring divisional reports and related materials that may be of assistance to the assigned Investigator during the investigative process. Such materials include but are not limited to:
  • Incident Reports
  • Arrest Reports
  • Court Docket Information
  • Daily Duty Assignments
  • Duty Rosters
  • Wearable Camera System, Dash Camera
  • Lobby and street camera 
  • Computer Aided Dispatch (CAD) Report
  • Dispatch Audio and 911 Call Information
The Intake Coordinator will denote on the Investigative Checklist that is contained in the OPS file, the reports/materials requested, from whom they were requested, date and time. Upon completion of the intake process and within 3 days of receiving the complaint, the Intake Coordinator shall forward the investigative file to the OPS Administrator or his/her designee, containing all investigative materials received to date, for review and assignment to an Investigator. 

The Intake Coordinator will be responsible for following up on requests made for reports and related materials and updating the assigned Investigator. The Intake Coordinator will be responsible for producing the initial correspondence to the complainant which confirms the receipt of the complaint and notifies them of their assigned Investigator within 7 days of receipt of the complaint. 

As part of the investigative team, the Intake Coordinator will assist with requests from Investigators and OPS personnel. This may include assistance with special projects. The Intake Coordinator will perform other related duties as required.

Salary : $45,000 - $50,000
