As an Executive Assistant, you will:
- Represent the City in a professional, polite, and courteous fashion.
- Serve as a scheduler and coordinate logistics for meetings, events, and other activities, including arranging facilities, catering, and technology needs.
- Manage the executive's daily schedule, including planning, coordinating, and preparing for internal and external meetings, events, and travel.
- Manage one administrative staff member and coordinate closely with other executive assistants.
- Gather and prepare materials for presentations, reports, and special projects.
- Serve as a primary liaison between the office, and both internal and external stakeholders.
- Track monitor, and follow up on key tasks, deadlines, and events to ensure nothing is missed.
- Draft and prepare correspondence, reports, and other documents with impeccable attention to detail.
- Respond to and resolve inquiries, complaints, and requests with efficiency and diplomacy.
Knowledge, Skills, and Abilities:
- Strong knowledge of modern office practices and software, including Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
- Exceptional interpersonal skills and a demonstrated commitment to delivering outstanding customer service.
- Superior written and verbal communication skills, with an emphasis on professionalism and accuracy.
- Proven ability to work independently, exercise sound judgment, and maintain strict confidentiality.
- Extraordinary organizational and multitasking abilities, with a focus on producing timely and accurate work in high-pressure situations.
- Sensitivity to community issues and the ability to navigate complex stakeholder relationships.

- Bachelor’s degree from an accredited college or university with major coursework in a related area of study, or related experience.*
- Five years of full-time, professional experience providing high-level administrative support to senior leadership or executives, including complex scheduling, event and meeting coordination, and travel management.
