Description
This position plans and coordinates the City of Columbia’s community events and programs, ensuring compliance with federal, state, and local regulations; and performs related professional and administrative work as required. The incumbent works within a general outline of work to be performed, and plans, organizes and schedules programs within major organizational policies under general supervision.
The work is considered light and involves walking or standing some of the time and involves exerting up to 50 pounds of force on a recurring basis or routine keyboard operations. The work requires the following physical abilities to perform the essential job functions: balancing, crouching, handling, hearing, lifting, reaching, repetitive motion, standing, talking, visual acuity, and walking.
Work environment involves exposure to no known environmental hazards; and involves critical situations that require major decisions involving people, resources and property.
Essential Job Functions
- Ensures department compliance with applicable federal, state and local laws and regulations;
- Files and updates event book;
- Performs event and meeting setup;
- Reviews, plans and approves logistical setup for special events, press conferences, and meetings that involve internal and external customers;
- Schedules and conducts logistic meetings to ensure events are effective and efficient;
- Receives and responds to inquiries, concerns, complaints and requests for assistance regarding areas of responsibility;
- Performs general administrative / clerical work as required; including but not limited to preparing reports and correspondence, coping and filing documents, entering and retrieving computer data, conducting and attending meetings; etc.;
- Attends training, conferences, seminars, meetings, etc., to maintain awareness of changing trends and legislation in the area of special events; and
- Performs other related duties as assigned.
Qualifications
MINIMUM REQUIREMENTS TO PERFORM WORK:
- High school diploma or GED;
- Three (3) years of relevant prior experience;
- Valid South Carolina Class “D” Driver’s License.
Knowledge, Skills, and Abilities
- Knowledge of basic algebra and statistics including data collection and detailed analysis; reporting on the accomplishment of specific departmental goals and tasks;
- Knowledge of knowledge of clerical or trades-based tasks. Some of the typical responsibilities include gathering, formatting, or visually analyzing data;
- Knowledge of the departments software systems RecTrac;
- Ability to handle or use machines, tools or equipment requiring brief instruction or experience, such as computers for data entry, fax machines, copiers, telephones or similar equipment; may service office machines, including adding paper and changing toner; Ability to repair small/light equipment such as power tools;
- Ability to perform using complex technical, scientific, or mathematical concepts that increases the efficiency and effectiveness of the organization. Ability to analyze and make recommendations on how to improve the operational performance of the organization;
- Ability to make decisions that govern activities as well as others;
- Ability to perform professional-level work dealing with data, people, and technology that relates to administrative, technical, scientific, engineering, accounting, legal, or managerial skills; and
- Ability to develop policies, long range plans, and allocate funds. Ability to make decisions that involve multiple priorities, limited resources, and internal and external challenges.
