Performs intermediate technical and administrative support work maintaining complex bookkeeping/accounting systems; reviewing fiscal documents and transactions for accuracy and conformity to established procedures and policies; reviewing, processing, and controlling manual and automated fiscal records and reports. Provides skilled administrative support to management, departments, and city residents, and intermediate clerical and technical work. Maintains various accounting controls and records; performs accounting tasks involving the preparation of various fiscal and statistical reports; maintains the telephone system billing; assists in preparing annual budget; maintains records of vehicles and equipment.

The City retains the discretion to add to or change the duties of the position at any time.Gathers, assembles, tabulates, checks and files financial data.Prepares and assists with the maintenance of financial records; enters, verifies, and checks data.Serves as the City’s compliance enforcement for the travel reimbursement policy. Processes travel accounts by issuing travel advances and reimbursements in accordance with established policies and procedures; ensures the established policies and procedures are in compliance with federal regulations involving travel. Provides training/assistance to all departments in applying the policy to reimbursement/advance requests. Performs tasks required for the end of the month closing; reconciling accounts; keying journal entries; and assisting accounting staff.Assist in maintaining system and user documentation.Examine, reconcile, balance, and adjust accounting records as needed.Assist in the annual closeout of the City’s accounting records and preparation of financial reports.Maintains the vehicle and equipment records for all city owned vehicles and equipment ensuring proper treatment of newly acquired or disposed vehicles and equipment. Works with the department of motor vehicles to ensure proper treatment of licensing and titling for all vehicles and equipment. Ensures the master vehicle and equipment spreadsheets are maintained for proper insurance filing and allocation.Completes other administrative and accounting functions including answering telephones; ordering office supplies; performing daily fuel and cash interfaces; administration of vehicle and equipment records; and management of the document retention and destruction process for the department. ADDITIONAL DUTIESActs as backup to payroll processing including periodic execution of the semi-monthly payroll for approximately 1,200 employees.
