Salary will increase to $22.21 hourly after successfully completing a six-month probation.
Administrative Support
- Prepare correspondence, reports, minutes, statistical data, and other materials.
- Maintain department files, records, and payroll; make copies as needed.
- Answer phones, screen callers, and provide information to the public.
- Resolve routine citizen requests and complaints through phone and in-person interactions.
- Maintain radio contact with field personnel and relay information.
- Schedule meetings, prepare agendas, and distribute minutes.
- Classify, code, route, and distribute mail and documents.
- Process licenses, applications, permits, and petitions.
- Inform other departments and divisions of relevant activities affecting their operations.
Administrative & Technical Proficiency
- Type at least 35 w.p.m. with 90% accuracy.
- Proficient in Microsoft Office (Word, Excel, Outlook).
- Skilled in using office equipment, including personal computers, copiers, and multi-line phone systems.
- Knowledge of office practices, procedures, and standard administrative operations.
- Strong grasp of business English, spelling, and arithmetic.
- Ability to communicate effectively and provide information to the public.
- Capable of handling difficult customer interactions with professionalism.
- Understanding of City organization, policies, and departmental operations.
- Ability to follow oral and written instructions accurately.
Desired Training and Experience
Education
- High school diploma or equivalent, preferably with office practices coursework.
- Previous office work experience or an equivalent combination of training and experience.
The examination process will consist of the components listed below. The combination of the written examination and oral interview will constitute 100% of the final examination score.
- Typing Test: All applicants must take a typing test. Applicants are required to type at a speed of 35 w.p.m. with 90% accuracy. The typing test will be graded on a pass-fail basis.
- Written Examination Applicants who pass the typing test will be required to take a written examination tailored to this position. Applicants are required to score at least 70.00% .
- Oral Interview Applicants passing the written test must pass an oral interview with a minimum score of 70.00%.
- Veteran Points Applicants passing the written test and oral interview may be eligible to receive 5.00 veteran preference points added to their final examination score.
- Seniority Points Applicable persons passing the written test and oral interview will receive 0.50 seniority preference points for each full year of continuous City of Decatur AFSCME service. A maximum of 10.0 points may be added to the final examination score.

Residency
The Office Support Representative position is covered under the American Federation of State, County and Municipal Employees (AFSCME) collective bargaining agreement. AFSCME employees shall reside within 50 miles of the corporate limits of the City of Decatur. An appointee may reside outside said limits but must comply no later than 90 days after the completion of the six-month probationary period.
