What are the responsibilities and job description for the ERP Coordinator position at City of Deerfield Beach?

A highly skilled technical position related to the review, implementation and ongoing maintenance of externally developed enterprise software systems. Analyst must be well versed in a variety of subject matter fields, as related to the automation of City functions. Uses skill and broad knowledge to install, configure, support, and integrate information systems. Supports the maintenance and development of the City's network or systems.

Responsible for working various phases of a projects and leading various projects. Work is performed both independently and under general supervision of the Chief Information Officer or designee and evaluated through observation, results obtained and annual reviews.

The essential functions listed below are those that represent the majority of the time spent working in this class. Management may assign additional functions related to the type of work of the class as necessary.

  • Serves as the primary Liaison to City's Managed Solution Provider(s), and primary IT Services contact for ERP project, post implementation.
  • Develops the on-going ERP project support strategy, including coordinating between City's ITS Department, City's Managed Solution Provider, and the various City Departments.
  • Primarily responsible for the ongoing administration of ERP applications
  • Gathers and compiles confidential and sensitive data related to personnel and financial records, including the programming of complex reports to provide data used by management.
  • Creates ERP training curriculum for staff as well as leads training classes for staff.
  • Analyzes ERP system problems and sets priorities between different alternatives and deliverables.
  • Supports strategic planning activities and discussions by providing analysis and recommendations on business requirements to improve effectiveness and efficiency of information systems and applications.
  • Collaborates with stakeholders to gather and document operational and functional requirements and translate them into operational solutions.
  • Assists with development, deployment, and maintenance of software applications.
  • Defines and coordinates Documentation and Testing Activities.
  • Serve as the technical SME for on-going ERP Solution performance, including integration and interface with other existing and future solutions and applications.
  • Gathers and compiles data to satisfy public records request, where knowledge of the FL Public Records Law, as it pertains to the release of exempt information contained in personnel files, is necessary.
  • May represent the department in ERP aspect in the absence, or at the request, of the department's director.
  • Attends meetings, including Commission meetings, to assist Department Director with ERP presentations and answer questions from city officials and elected officials in a public setting.
  • Other duties, responsibilities, and activities may change or be assigned at any time with or without notice.

Minimum Education And Experience Requirements

  • Bachelor's Degree in Computer Science, Public Administration, Business Administration or related field.
  • Three (3) progressively responsible technical experience involving Project Management, database administration, ERP and project analysis or an equivalent combination of education, training and experience.
  • Must possess and maintain a valid state driver's license with an acceptable driving history.

Preferred Education And Experience Requirements

  • Experience in Project Management, database administration, ERP and project analysis in a governmental environment
  • Project Management Professional (PMP) certification.

Knowledge, Skills And Abilities

  • Knowledge of information systems/network concepts, analysis, and programming.
  • Ability to manage, operate and monitor performance of systems/network equipment.
  • Ability to set priorities. Ability to interact effectively and maintain relationships with the general public, City officials, contractors, and other City employees.
  • Comprehensive knowledge and competency at the highest technical level. Must have a good understanding of the businesses' being supported.
  • Works on major projects or multiple projects. May be a team leader or coordinate activities of a unit to meet project guidelines.
  • Ability to manage and maintain inventory.
  • Ability to make budget recommendations.
  • Ability to learn new software programs/tools; implement usage of program; and train others, when necessary.
  • Ability to apply principle of logical or scientific thinking to define problems, collect data, establish facts, and draw valid conclusions; to interpret an extensive variety of technical instructions in mathematical or diagrammatic form.
  • Ability to record and deliver information, to explain procedures, to follow orally and written instructions.
  • Ability to make difficult arithmetic calculations and to set up complex forms and statistical tables; utilize basic systems of algebra.
  • Ability to compare and/or judge the readily observable, functional, structural, or compositional characteristics (whether similar or divergent from obvious standards) of data, people or things.
  • Ability to interpret and apply policies and procedures.
  • Ability to work with confidential and sensitive data related to personnel and financial records.
  • Ability to work independently in the absence of specific instructions; and to understand and follow written and verbal instructions.
  • Ability to read a variety of computer software references, software manuals, hardware manuals, computer reports, and related printed information.
  • Ability to communicate effectively, both verbally and in writing, using excellent English.
  • Ability to coordinate hands and eyes rapidly and accurately in using automated computer equipment and machinery.
  • Must be physically able to operate various items of office related equipment, such as, but not limited to, computer, calculator, telephone, copier, and facsimile machine, etc
  • Ability to perform other duties as assigned.

PHYSICAL DEMANDS

Physical demands refer to the requirements for physical exertion and coordination of limb and body movement.

  • Performs sedentary work that involves walking or standing some of the time and involves exerting up to 50 pounds of force on a regular and recurring basis or sustained keyboard operations.

WORK ENVIRONMENT

Unavoidable hazards refer to the job conditions that may lead to injury or health hazards even though precautions have been taken.

  • None

WORK HOURS

Monday - Friday 8am- 5pm (May be required to work nights, weekends and holidays to meet the business needs of the City.)
