What are the responsibilities and job description for the Event Specialist position at City of Deerfield Beach?
Summary Objective
The purpose of this position is to assist in scheduling, organizing and executing both public and private events for the City’s Parks & Recreation facilities. Performs a variety of work related to program and event set up, transporting equipment, material, and supplies.
This class works under general supervision, independently developing work methods and sequences.
Essential Functions
The essential functions listed below are those that represent the majority of the time spent working in this class. Management may assign additional functions related to the type of work of the class as necessary.
- Makes appointments to conduct site visits to City facilities.
- Sets up and breaks down tables and chairs abiding by a floor plan as decided by clients at engagement.
- Responsible for following the site map and logistics for all special events.
- Conducts pre- and post-checks of facilities to ensure it is in good order.
- Assists in the preparation for the event to include renting facilities, set-up, ensuring cleanliness and that participants follow rules and regulations.
- Performs repetitious lifting and moving of tables and chairs in set-up and take-down of event.
- Interacts with the public by responding to phone calls, taking messages, routing calls, providing facility/park tours, greeting visitors, providing directions.
- Provides information to the public regarding fees, availability and requirements for use; may assist with the coordination of the events calendar.
- Maintains records and files on activities and events, receives and receipts payments; Assists with inventory and related supplies and records.
- Assists with opening and closing facilities and with general facility maintenance.
- Cleans and maintains vehicles and equipment, ensures all facility equipment is in good working condition.
- May use hand tools and power tools in conjunction with equipment being operated or tasks being performed.
- Follows established city rules and regulations related to the operational use of vehicles and equipment.
- Assists with tracking the inventory of cleaning supplies, tools, and equipment

- Activity and Special event set up, load in, and load out including but not limited to tables, chairs, ice, beverage coolers, barricades, trash cans, large tents, and large movie screens.

Typical Qualifications
MINIMUM EDUCATION AND EXPERIENCE REQUIREMENTS:
- High School Diploma or GED equivalent.
- One (1) years of event support experience or an equivalent combination of education, training and experience.
- Must possess and maintain a valid state driver’s license with an acceptable driving history.

- Knowledge of the safety practices and methods in driving and maintaining vehicles.
- Knowledge of the Deerfield Beach geographic areas.

PHYSICAL DEMANDS:
Physical demands refer to the requirements for physical exertion and coordination of limb and body movement.
- Performs medium work that involves walking, standing, stooping, jumping, lifting, digging, pushing and raising objects and also involves exerting between 20 and 50 pounds of force on a regular and recurring basis and 50 to 100 pounds of force on an occasional basis.

WORK HOURS:
Monday - Friday; Weekends: Days/Hours will vary based on program and event needs. (May be required to work nights, weekends and holidays to meet the business/program needs of the City. Hours may change based on program, event and operational needs.)
