What's The Role?
The City is flexibly recruiting to fill a vacancy as Aquatics Assistant II (Swim Window). Under general supervision and direction, performs a variety of clerical and administrative duties in support of City Aquatics staff including word processing, data entry, telephone and counter reception, record-keeping, basic report preparation, filing, and mail distribution; provides information and assistance to City staff and the general public; assists swim center staff in program delivery; processes invoices and billings, collects fees and payments from the public, and prepares and coordinates cash deposits; and performs related duties as assigned.
These positions are seasonal and assigned up to 20-25 hours per week (not to exceed 1,000 hours annually), which include evenings and weekends. Candidates must be available to work June through August. Seasonal positions may be extended through October as needed.
Essential responsibilities and duties may include, but are not limited to, the following: Aquatics Assistant II
- Answers incoming telephone calls; provides information and answers questions; addresses issues and concerns from members of the public, vendors, and City staff; refers issues to the appropriate staff or department; checks and replies to voicemail and email messages; greets visitors and residents at City facilities; distributes literature pertaining to City services and events.
- Assist lifeguards in providing aquatic safety and supervision for community members; monitors activities in the pool and facilities to avoid and prevent accidents, and to ensure the safety and well-being of patrons; promotes public safety at all times.
- Provides courteous and professional customer service to all patrons, facility users, personnel, and public.
- Collects and distributes incoming mail, packages, email communications, correspondence, reports, requests for service, and concerns to appropriate staff.
- Prepares and processes invoices and billings; manages petty cash funds; collects fees and payments from the public; maintains records of and reconciles revenues collected; prepares and coordinates cash deposits.
- Maintains cleanliness of swim window desk and counter and other aquatic facilities including locker rooms, bathrooms, and communal staff areas.
- Assists with citywide special events and recreation department activities as assigned.
- Participates in scheduling of recreation and community activities, games, and events; supports participant registration, creates rosters, and tracks and inputs participation data; maintains online calendars for events and facility usage.
- Supports lifeguard staff in response to emergency situations.
- Observes and complies with all City and mandated safety rules, regulations, and protocols.
- Performs related duties as required.
Receives general supervision and direction from assigned management and supervisory personnel. Exercises no supervision of staff.
Education and Experience:
Any combination of training and experience that would provide the required knowledge, skills, and abilities is qualifying. A typical way to obtain the required qualifications would be:
Education:
Aquatics Assistant II: Completion of 9th grade.
Experience:
Aquatics Assistant II: Sixteen years of age or older. Experience using computer and office equipment and possessing cash handling skills highly desired.
Licenses and Certifications:
Current certification in CPR/AED and First Aid from the American Red Cross or equivalent.Knowledge, Skills and Abilities:
- Modern equipment and communication tools used for business functions and program, project, and task coordination, including computers and software programs relevant to work performed.
- Business correspondence writing and the standard format for reports, correspondence, and related documents.
- Methods of preparing and processing various records, reports, and forms.
- Principles and procedures of record-keeping.
- Business arithmetic.
- City and mandated safety rules, regulations, and protocols.
- Techniques for de-escalation and providing a high level of customer service by effectively assisting with the public, vendors, and City staff.
