Job Summary
This role is under the direction of the City Engineer and Zoning Administrator It involves administrative, scheduling, clerical, and support duties to maintain the function of the Zoning and Engineering departments. Responsibilities include front desk tasks, processing zoning and engineering permits, managing inquiries and communications from the public, interacting with other departments, taking meeting minutes, ordering supplies, and generating reports. Must have at least two years of clerical or administrative support experience and an Associate's or Bachelor's degree is preferred. The ideal candidate should possess knowledge of office procedures, Word, and Excel, and be able to follow instructions and maintain cooperative working relationships. The work is primarily sedentary, conducted indoors in a controlled environment, with minimal physical exertion required.
Essential Duties and Requirements
- Performs typical “front desk” tasks: receives and directs visitors; contacts staff of visitors; answers inquiries from the public and from staff; reads and distributes mail; copies and emails; answers telephone and takes messages.
- Receives applications for all Zoning permits;
- Receipts and makes collections of all Engineering/Zoning department permits;
- Processes permit applications in Engineering for water, sanitary, storm, sidewalks, curb cuts and driveways;
- Takes calls for service and responds to inquiries from the public;
- Provides general information and directs callers to the appropriate staff within the department or other City departments as needed;
- Answers vendor, supplier and contractor questions; referring them to the appropriate person, either in Engineering, Zoning or in another City Department;
- Performs file searches and other research through various types of information mediums.
- Interacts with other City Departments on issues regarding Zoning or Engineering operations.
- Completes routine forms;
- Takes minutes at staff and other meetings;
- Copies; sends memos and e-mails and sends them to the appropriate City office;
- Relays messages, and information to and from residents and department employees;
- Generates various reports and other information as requested by City employees and the public;
- Orders and maintains sufficient office supplies;
- Monitors operation of office machines and communication equipment; arranges for repairs and recommends replacement;
- Assists in generating budgets for Engineering and Zoning;
- Makes collection on various Engineering and Zoning permits;
- Performs other duties as required.
Job Type: Full-time
Pay: $23.82 - $24.78 per hour
