Manages the complex professional and administrative functions of the Schiele Museum. As a member of the leadership team, this position oversees the budgeting, expenses, planning, forecasting, earned income, contract negotiations, and staff supervision. Responsibilities also include administering physical facilities, and payroll, ensuring regulatory compliance, and collaborating with the museum's interpretation and advancement divisions to achieve organizational goals. Additionally, the role interacts with the Board of Trustees to present operations, fiscal operations, and staffing concerns. This position reports to the Director of Schiele Museum and may serve as acting director as needed in their absenceThe following job functions are typical for a position of this nature. To perform this job successfully, an individual must be able to perform each function satisfactorily.  Other job functions and duties may be required as assigned.  Percentages for each function are subject to fluctuations. 

Assists the Director with the development and management of the museum’s dual budgets, ensuring that all financial activities align with the goals and activities of the organization local government & Board of Trustees budgets; Write and manage Federal/State grants

Oversees the maintenance, safety, and functionality of the museum’s physical facilities, including exhibition spaces, offices, and public areas.

Monitor and manage the revenue streams, including admissions, donations, retail sales, etc. ensuring that revenue projections are met;

Manages relationships with external vendors and service providers including contracts, permits, and purchase orders in compliance with Federal, State, and Local regulations for government and non-profit entities

Supervises the hiring, training, and performance of operational staff for the Board of Trustees and the City of Gastonia; ensuring a well-functioning team that supports the museum’s mission

Coordinates and manages the annual audit processes for local government and non-profits; ensuring that reports to local, state, and federal agencies are timely and accurate

Develops long-range plans for financial stability and infrastructure maintenance

Assists the Director in fundraising and public relations events; Serve as Museum ambassador in the community

Provides leadership for assigned staff and volunteers

Works closely with the Director in carrying out the mission of the Schiele Museum of Natural History and Planetarium, Inc.; Collaborates with various City departments on projects and facilities maintenance issues/projects;  Ensures visitors have a safe and pleasant experience

Interacts with the Board of Trustees, representing Operations and Finance and serving as the staff liaison for related committees and projects

  • Comprehensive business knowledge; knowledge of accounting, budgeting and financial reporting
  • Thorough knowledge of human resources practices, insurance – casualty, health, life and worker’s compensation
  • Ability to supervise, lead, and direct staff to provide excellent visitor services; ability to collect data, develop plans and execute same
  • Ability to communicate ideas effectively both orally and in writing; proficient computer skills – excel, word, outlook, accounting software
  • Ability to develop and maintain effective working relationships with employees, officials, and the general public
  • Ability to maintain strict confidentiality of information
  • Must be intrinsically motivated, working primarily to fulfill the mission of the museum to the community
  • Must be customer service oriented, creative self-starter, flexible, and be able to work a flexible schedule; prioritizing the visitor experience 
EDUCATION AND EXPERIENCE:
  • Bachelor’s degree in finance, accounting, human resources, business administration, public administration, nonprofit management, or related field
  • 5 or more years of leadership experience in nonprofit administration, government, budgeting, human resources management, or facility operations
  • Or an equivalent combination of education and experience.
SPECIAL REQUIREMENTS:
  • NIMS IS-700, IS-100, IS-200 and IS-300 courses within 12 months of hire date.  
  • Valid driver’s license in the State of North Carolina. 
  • Ability to travel, including overnight.

PHYSICAL DEMANDS/WORK ENVIRONMENT

1. The physical activity of this position includes:
  • Climbing: Ascending or descending ladders, stairs, scaffolding, ramps, poles, and the like, using feet and legs and/or hands and arms. This factor is important if the amount and kind of climbing required exceeds that required for ordinary locomotion.
  • Stooping: Bending body downward and forward by bending the spine at the waist. This factor is important if it occurs to a considerable degree and requires full use of the lower extremities and back muscles.
  • Kneeling: Bending legs at the knee to come to rest on the knee or knees.
  • Crouching: Bending the body downward and forward by bending leg and spine.
  • Reaching: Extending hand(s) and arm(s) in any direction.
  • Standing: Particularly for sustained periods.
  • Walking: Moving about on foot to accomplish tasks, particularly for long distances or moving from one work site to another.
  • Pushing: Using the upper extremities to press against something with steady force to thrust forward, downward, or outward.
  • Pulling: Using upper extremities to exert force to draw, drag, haul, or tug objects in a sustained motion.
  • Fingering: Picking, pinching, typing, or otherwise working, primarily with fingers rather than with the whole hand or arm as in handling.
  • Grasping: Applying pressure to an object with the fingers and palm.
  • Feeling: Perceiving attributes of objects, such as size, shape, temperature, or texture by touching with skin, particularly that of the fingertips.
  • Talking: Expressing or exchanging ideas using the spoken word. Those activities in which they must convey detailed or important spoken instructions to other workers accurately, loudly, or quickly.
  • Hearing: Perceiving the nature of sounds at normal spoken word levels with or without correction. Ability to receive detailed information through oral communication, and to make fine discriminations in sound, such as when making fine adjustments on machined parts.
2. The physical requirements of this position
  • Office Environment Work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects, including the human body. Office environment work involves sitting most of the time. Jobs are categorized as office environment if walking and standing are required only occasionally and all other Office Environment Work criteria are met.
3. The visual acuity requirements including color, depth perception, and field of vision
  • The worker is required to have close visual acuity to perform one or more of the following: preparing and analyzing data and figures; accounting; transcription; computer terminal; extensive reading; visual inspection involving small defects, small parts, operation of machines (including inspection); using measurement devices;

4. The conditions the worker will be subject to in this position:
  • The worker is subject to inside environmental conditions; Protection from weather conditions but not necessarily from temperature changes.
  • The worker frequently is in close quarters, crawl space, shafts, manholes, small-enclosed rooms, small sewage and water line pipes, and other areas that could cause claustrophobia.
  • The worker is required to function in narrow aisles or passageways.
  • None: The worker is not substantially exposed to adverse environmental conditions (such as in a typical office or administrative work environment).
