What are the responsibilities and job description for the Deputy Court Clerk position at City of Germantown?
GENERAL DEFINITION OF WORK:
Under general supervision of the Court Administrator, perform a variety of technical record-keeping and skilled clerical duties to support the Germantown Municipal Court. Process forms, orders and documentation of court cases from origin to final dispositions. Assist attorneys and the public and explain court procedures and the judicial system.
City court is held most Wednesday nights. Attendance is MANDATORY.
ESSENTIAL JOB FUNCTIONS:
1.Enter various data into the court's computer system including citations, accident reports, tickets, arrest reports, bonds, and payments.2.Set court date and prepare docket for court comparing ticket and arrest report information with docket making sure that all information is correct and make appropriate changes accordingly.
3.Compile and maintain arrest files, juvenile traffic school files, and other court files to ensure that all necessary information is included, labeled and filed properly.
4.Review legal documents for completeness and accuracy to determine the appropriate processing for adherence with City court rules and regulations.
5.Calculate, collect and account for all fees, fines, costs, forfeitures, and bonds; issue receipts, balance and prepare receipts for deposit.
6.Perform duties in courtroom by checking equipment for proper functioning, sorting files, checking-in offenders, entering disposition, fines and fees into computer, and assisting judge and prosecutors.
7. Accept payments and provide general information regarding Court policies and procedures during working hours and at night when court is in session.
8.Prepare and send various certified letters and documents including but not limited to warrants, subpoenas, garnishments, court-date notices, and final notices.
9.Transfer appeals and submit bind-overs to the appropriate court.
10.Maintain records of the First Offender Program, scheduling juveniles for classes and community service with participating organizations. Check records to ensure that each juvenile has completed program and has not received any other tickets during probationary period.
11.Must be punctual and timely in meeting all job performance requirements, including but not limited to, attendance and tardiness standards and work deadlines.
OTHER JOB FUNCTIONS:
1.May sign affidavits requiring availability during nights and weekends.
2.Performs related tasks as required.
KNOWLEDGE, SKILLS AND ABILITIES:
- Knowledge of City court rules, policies and procedures including courtroom procedures.
- Knowledge of various legal forms and documents issued by the Court.
- Knowledge of computer software applications including word processing, spreadsheets and packaged court administration software.
- Skill in entering, adjusting and retrieving data using personal computer.
- Ability to deal tactfully, courteously and effectively with diverse and sometimes irate individuals.
- Ability to work cooperatively with co-workers, attorneys, judges, law enforcement officers and court officials to provide information or resolve problems.
- Ability to maintain and process a variety of legal documents and files in compliance with established procedures, mandated timelines, and judicial direction.
- Ability to perform basic mathematical calculations quickly and accurately.
EDUCATION AND EXPERIENCE:
High School and three years clerical or public contact experience preferably in a courtroom or law office, or any combination of education, training, and experience providing the knowledge, skills, and abilities necessary to perform essential job functions.
WORKING CONDITIONS:
Work is typically performed in an office or courtroom environment with frequent interruptions and with the need to deal with a wide variety of people, some of whom may be irate and difficult. Work tasks involve periods of standing, sitting and kneeling. Occasionally lifts and carries such items as records and office supplies of moderate weight of up to 40 pounds.
