The Accounting Clerk reports directly to the Finance Director and is responsible for performing under minimal supervision, various documentation and record keeping duties for the City.

RESPONSIBILITIES
1. Process and verify invoices, ensuring they match purchase orders and receipts.
2. Schedule and process payments through checks, ACH, or wire transfers.
3. Maintain accurate records of all accounts payable transactions.
4. Reconcile Purchase Orders and Invoices
5. Reconcile vendor statements and resolve any discrepancies.
6. Communicate with vendors regarding billing and payment inquiries.
7. Prepare and analyze accounts payable summaries.
8. Process all payroll change orders, new hire paperwork.
9. Enters data in the accounting software including journal entries. Scans, indexes, and retrieves documents in the document imaging software.
10. Assist Supervisors in complying with accounting principles with regard to annual audit
11. Perform a broad range of complex financial, accounting, and administrative responsibilities.
12. Ensure compliance with internal policies and external regulations.
13. Prepares various reports as directed by staff for internal and external purposes.
14. Provides courteous and prompt service to all internal and external customers including members of the general public, staff and external auditors. Prioritizes and addresses requests and assignments in a professional manner to develop cooperative relationships and ensure the confidentiality of employee and financial records.
15. Coordinate the maintenance of office equipment
16. Performs basic office functions including, but not limited to, sending faxes, copying and assembling required materials, filing, sorting mail, making deposits and running department errands.
17. Provides relief for the Central Services receptionist function.
MINIMUM QUALIFICATIONS
EXPERIENCE AND EDUCATION
High school diploma or equivalent; associate degree in accounting or related field preferred.
Proven experience as an accounting clerk or similar role.
Proficiency in accounting software and MS Office.
Strong attention to detail and accuracy.
Excellent organizational and multitasking abilities and good communication skills.
PHYSICAL/MENTAL DEMANDS
While performing the duties of this position, the employee is frequently required to walk, stand, bend, kneel, stoop, communicate, reach and manipulate objects. The position requires mobility. Duties involve moving materials weighing up to 10 pounds on a regular basis such as files, books, office equipment, etc., and may infrequently require moving materials weighing up to 40 pounds. Manual dexterity and coordination are required while operating equipment such as computer keyboard, calculator, and standard office equipment. Specific vision abilities required by the job include close vision and the ability to adjust focus.
