What are the responsibilities and job description for the Administrative Coordinator, Economic Development position at CITY OF GRIFFIN?
The purpose of this position is to provide administrative support to the Economic Development Department. Success in this position contributes to efficiency and effectiveness of department operations. Essential duties include:
- Answers telephone and greets visitors; provides information and assistance.
- Receives customer complaints and inquiries; resolves or forwards to appropriate personnel .
- Maintains department supply inventory; reorders as needed.
- Receives and processes incoming mail, returned mail and shipments.
- Performs related duties as assigned.
- Assists with the rentals of Historic City Hall including scheduling, booking, tours, record keeping, rental contracts, and payments for outside vendors and internal city events.
- Schedules maintenance and repairs of Historic City Hall in conjunction with Public Works staff.
- Ensures custodial supplies are stocked daily and coordinates with Public Works to ensure the facility is always clean and orderly.
- Responsible for Historic City Hall's inventory system, including internal event inventory checkout procedures and inventory organization for all related event items.
- Supports the Main Street Manager with preparing for monthly meetings, including agendas, taking and compiling minutes, obtaining financial statements, sending out board packets via email, providing appropriate notice to the media, and having the meeting space ready for the day of the meeting, including setting up Zoom.
- Assists the Main Street Manager with the task list in preparation for Second Saturday and Downtown Council events.
- Attends Downtown Council meetings and, on occasion, will take minutes for the meetings.
- As an assistant to the Main Street Manager, attends Second Saturday, Downtown Council events, and special community events.
- Assists Main Street Manager and Economic Development Director with business support and initiatives, including deliveries and communication.
- Assists Main Street Manager and Economic Development Director with monthly and annual assessments and reports.
- Supports the Economic Development Director and Main Street Manager with record keeping, filing, purchasing, budget monitoring, accounting, bill paying, monthly credit card statements and receipt verification, and tracking and coding department expenditures correctly.
- Supports Economic Development Director with program contracts, check requests, board member travel, and registration for the Downtown Development Authority.
- Assist with maintaining the business directory.
