The City of Hanford is seeking to fill two (2) Administrative Analyst I/II vacancies for our Fire and Police Departments. This position will report to the designated department and the Finance department. This position is to perform highly skilled professional work in support of an assigned city department or division, perform a variety of research and analysis projects, and provide professional-level support to an assigned supervisor.DISTINGUISHING CHARACTERISTICSAdministrative Analyst I: This is the entry-level class in the professional Administrative Analyst series. Positions in this class typically have little or no directly related work experience and work under immediate supervision while learning job tasks. The Administrative Analyst I class is distinguished from the II level by the performance of less than the full range of duties assigned to the II level. Incumbents work under immediate supervision while learning job tasks, progressing to general supervision as procedures and processes of assigned area of responsibility are learned.Administrative Analyst II: This is the journey level class in the professional Administrative Analyst series and is distinguished from the I level by the assignment of the full range of duties. Employees at this level receive only occasional instruction or assistance as new, unusual or unique situations arise and are fully aware of the operating procedures and policies within the work unit. Positions in this class are flexibly staffed and are normally filled by advancement from the I level.SUPERVISION RECEIVED AND EXERCISEDAdministrative Analyst I: Receives general supervision from assigned management.Administrative Analyst II: Receives direction from assigned management.
EXAMPLE OF DUTIES
Duties may include, but are not limited to, the following: Plan, coordinate, and conduct administrative and operational duties and analysis, recommend solutions based on findings. Design, develop, and coordinate implementation and evaluation of departmental administrative and operational systems and procedures. Create and maintain databases from a variety of internal and external sources; monitor development and input of data; Development new program elements and program modifications related to area of assignment to meet goals and objectives; perform analytical work and maintain appropriate records and statistics. Respond to complaints and requests for information from the public and City staff; research requested information and determine appropriate resolutions. Monitor the budget on a daily basis; review purchase requisition and ensure funds are available and that request is authorized; manage and analyze multiple Federal, State and local funding sources. Prepare grant proposals; monitor active grants to ensure that stipulations and regulations regarding the use of funds are met; and, maintain appropriate records. Prepare and administer contracts. Participate in meetings or committees when assigned. Prepare, maintain and coordinate a variety of federal, state, and City reports and surveys. Audit, input and validate relevant data in various software programs. Compile and coordinate a variety of information and resources for department staff. Build and maintain positive working relationships with co-workers, other City employees, and the public using principles of good customer service. Foster an environment that embraces diversity, integrity, trust, and respect. Be an integral team player, which involves flexibility, cooperation, and communication. Perform related duties as assigned.
SUPPLEMENTAL INFORMATION
The application screening will consist of a competitive assessment of relevant education, training, and work experience, followed by a written examination and/or an interview before an Oral Board to determine the most qualified candidates. Applicants meeting the minimum qualifications are not guaranteed advancement to an interview, and the screening committee's decision is final. Those candidates determined eligible for appointment to the position will be placed on the City’s Certified Eligibility List. Applicants will receive written notification regarding the results of all phases of the recruitment process up to the establishment of the Eligibility List, if applicable.
