GENERAL DESCRIPTION
This position performs professional work assisting in the coordination of an array of events including concerts, holiday activities, and other community programs. Coordination activities include providing assistance in the planning, developing, directing, organizing and supervising of these events from the onset of the event concept all the way through the reconciliation of the ticket sales.
Position reports to Economic Development Manager.
ESSENTIAL JOB FUNCTIONS
- Prepares the annual event calendar in conjunction with City Staff and Pictona Staff.
- Assists in identifying and contacting talent for the City Concert Series and other non-Pickleball events at Pictona.
- Prepares ads (radio, television, print and social media) and the advertising budget for each event.
- Develop innovative strategies to increase attendance at the City Concert Series and other city events.
- Manages event software; responds as needed to ticket fulfillment inquiries.
- Coordinates with additional vendors, as needed (Cleaning, Security, Sound and Lights, Set up with Pictona, Parking, etc.)
- Ability to work nights during the concert, occasional weekends and off hours for special events, as needed.
- Prepares & reconciles settlement sheet immediately following event.
- Performs other job-related functions as assigned.
MINIMUM QUALIFICATIONS
KNOWLEDGE, SKILLS AND ABILITIES
- Knowledge of Event Management
- Knowledge of marketing and advertising (specifically Meta advertisements).
- Ability to learn ticketing and email subscription software.
- Graphic design experience, including proficiency with Canva.
- Certified in crowd management (certificate required within 2 weeks of hire).
- Ability to operate general and complex office equipment to include the use of a computer, copy machine, facsimile machine, scanner, telephone transfers, and other information technology equipment associated with the administrative function.
- Skilled in the use of Gmail, WORD and EXCEL software.
- Ability to maintain an organized and efficient work area and environment.
- Ability to communicate effectively both orally and in writing.
- Ability to make mathematical computations and tabulations accurately.
- Ability to establish and maintain effective working relationships with employees and the public.
EDUCATION AND EXPERIENCE
- High school diploma or GED supplemented by an Associate’s degree in business administration or a related field and (3) years of progressive experience providing high-level administrative support.
- Prior experience leading events.
- Any work related experience resulting in acceptable proficiency levels in the above minimum qualifications is an acceptable substitute for the above specified education and experience requirements.

- Valid Class E Florida Driver’s license
