- Works closely with mechanics to ensure timely and accurate parts ordering and delivery.
- Facilitates the processing of work orders, including timely and accurate record keeping of parts and materials used in the performance of maintenance activities.
- Reviews part catalog for proper part identification; contacts vendors to obtain price bids; prepares purchase orders; on occasion, negotiates with vendors and suppliers to discuss terms, pricing, and potential stock inclusions.
- Utilizes the City’s accounting and Fleet Management software within approved methods for the acquisition of parts and supplies and reconciliation of purchase orders and invoices.
- Receives shipments from vendors, checks vendor packing slips/invoices for accuracy and ensures quantities received are as stated; confers with suppliers regarding late deliveries; maintains appropriate records; reviews reports for accuracy and compliances with established procedures.
- Makes equipment and parts deliveries or returns to, other city facilities and vendors as needed.
- Applies parts received to open work orders or places parts in proper location within the parts room.
- Enters receipt and distribution of parts/supplies into computer to update automated inventory records.
- Assembles and fills orders as requested. Issues parts to open computer work orders as parts are distributed to mechanics.
- Conducts periodic physical inventory to assure proper availability of required stock; replenishes stock as shipments arrive; reconciles all discrepancies and disputes related to the stockroom and its operations; reviews processes and procedures on an on-going basis; suggests improvements or changes in an effort to always promote higher productivity and efficiency.
- Plans layout and organization of stockroom to ensure that all required items are stocked, inventoried, available, and accessible; ensures stockroom security; prevents loss and undocumented use of inventory; provides documented accountability for all items received and distributed.
- Tracks parts warrantees and assures that items for return are returned and processed in an expeditious manner.
- Complies with all regulations regarding the handling of hazardous materials. Obtains and maintains Safety Data Sheets as required from vendors.
- Assists in snow and ice removal operations, as necessary.
- Assists Mechanics in the maintenance and repair of a variety of small, medium, and heavy-duty vehicles and equipment
- Responds to customer inquiries of basic division information within established guidelines; promotes good customer service by effectively communicating with customers; handles inquiries and requests in a timely manner; refers customer to appropriate person.
- Follows all safety regulations, policies, and procedures; reports all unsafe conditions and acts to supervisor; reports all accidents to the supervisor immediately whenever possible; follows recognized safe work practices.
- Performs other special projects and other job duties as assigned or required during regular and non-business hours.
- All employees may be assigned by the City Manager or their designee to perform duties and assume responsibilities that are outside the scope of their work duties when the City Manager has declared a City disaster or the City Emergency Operations Center has been initiated.
- A High School diploma or equivalent is required.
- Minimum two (2) years’ experience in automotive industry, parts counter work required.
- Possession of a valid state-issued Class “B” Commercial Driver’s License, or ability to obtain such license within one (1) year of hire is required.
- A valid, state-issued driver’s license at time of hire is required.

- A technical trade school certificate (or equivalent technical college courses) in the automotive, heavy equipment, or warehouse operations field is preferred.
- Certification as an ASE Parts Specialist desirable.
