GENERAL PURPOSE
Assists in maintaining parts, fluids, tires, and tool inventories; opens, closes and updates service work orders pertaining to customer needs. Assists in performing semi-skilled and administrative work in maintaining the facilities and equipment of the Fleet Services division.
SUPERVISION EXERCISED
Employee has no supervisory responsibilities.
CORE COMPETENCIES:Service Writer:
Opens, closes, and updates service work orders.
Asks customer to explain the issue.
Documents and tracks the customer information and service work needs and communicates this information to a technician.
Inputs the customer and vehicle/equipment information into the fleet management system.
Responds to department questions and communicating with department during the service process.
Notifies customers when vehicle/equipment is ready for pickup.
Fleet inventory management:
Locates and purchases parts for fleet.
Receives, stocks and issues inventory items to technicians, customers, and ensures they are issued to the appropriate work order(s).
Tracks the shipment of parts ordered, including returns and cores.
Periodically drives to pick-up parts, including long distance pick-ups as far as Dallas or San Antonio.
Maintains reasonable inventory levels by determining and assigning practical stock reorder points.
Updates inventory listings in the applicable database, including reconciliation of inventory monthly and annually.
Maintains and updates various departmental and inventory records.
Produces relevant reports on parts stock and tool trends.
Completes requisitions for inventory purchases.
Assists in the budgeting process throughout the fiscal year.
Obtains and inputs daily fuel readings as tasked to include receiving and tracking fuel.
Maintains parts room, and other areas as assigned, clean, safe, secure, and well organized.
Manufactures hydraulic and pneumatic hoses from available stock.
Secures the tool and stock rooms and all the assets therein.
Installs annual registration stickers and license plates as required.
Provides quality customer service by providing efficient and courteous service to all staff members and customers.
Participates in the On-Call program.
Adheres to assigned work schedule as outlined in the Department and City attendance policies and procedures; ensures all behaviors comply with the City’s Personnel Rules and Regulations.
Performs other duties as assigned.Education and Experience:
- Minimum of a high school diploma or equivalent; and
- Minimum of one (1) year of related experience in warehouse/purchasing, equipment maintenance, and/or service writing; or
- Any equivalent combination of education and experience.
Knowledge, Skills and Abilities:
- Knowledge of vehicle maintenance.
- Knowledge of price trends and grades or quality of materials and equipment.
- Working knowledge of the hazards and safety precautions common to municipal maintenance and repair activities.
- Ability to carry out assigned projects to their completion.
- Ability to safely operate a forklift and other lifting devices.
- Ability to communicate effectively verbally and in writing.
- Ability to establish and maintain effective working relationships with employees, supervisors, vendors, and the public.
- Ability to maintain regular and punctual attendance.
SPECIAL REQUIREMENTS
- Employee must have a valid driver's license by date of hire.
- Must obtain and maintain a Texas Driver’s license within 90 days of hire.
- Participates in On-Call program within six months of hire – approximately one week per month.
Tools and equipment used
Personal computer, including Fleet Management software, calculator, copy and fax machines, telephone, stepladder, hydraulic lift, hydraulic press, chop saw, vehicle, and personal protective equipment as required.
