POSITION: Administrative Assistant
LOCATION: Legal Department
HOURS: Monday- Friday 8a-4:30p
SALARY: $2,015.67- $2,317.59
DESCRIPTION:
• Administrative Support. Provide broad and high-level support to the City Attorney and
Legal Department ensuring efficient operations and promoting a tone of professionalism.
- Communication. Serves as liaison between the legal department, other city departments,
external agencies and the public. Answer and screen incoming calls, emails, and inquiries,
and to relay messages promptly to appropriate staff members.
- Document Management. Assist in the preparing, editing, formatting and filing of legal
documents including pleadings, briefs, contracts and agreements. Maintain electronic and
physical filing system for easy retrieval and organization of documents. Record documents
with the Tippecanoe County Recorder’s Office.
- Research and Information Gathering. Conduct research and gather relevant information
to support projects and initiatives. Compile data, reports and summaries as needed.
- Records Management. Manage and maintain legal records and databases, ensuring
accuracy, completeness and compliance with record-keeping requirements.
- Financial Administration. Assist in managing budgets, processing invoices, tracking
expenses and maintain financial records for the Department.
- General Office Duties. Perform various administrative tasks such as photocopying,
scanning, filing, and ordering office supplies. Maintain organization of office spaces and
Legal Department webpage.
REQUIREMENTS:
High school diploma or GED and equivalent combination of training and/or work experience in
administrative field or related work; Associate degree preferred. Incumbent performs duties of
routine nature independently with a majority of duties according to a flexible, customary routine
with priorities determined primarily by supervisor. Incumbent works with little supervision and
follows established policies, procedures, work methods, and directives in carrying out routine or
recurring assignments and tasks. Incumbent’s work is reviewed upon completion of specific
projects for adherence to guidelines and soundness of judgment. Incumbent has contacts with
co-workers, the general public, other City departments, and with persons employed by other
governmental agencies. There are person-to person work relationships with explanation and
interpretation of what is required in order to render services, carry out the City’s policies and
maintain coordination.
PHYSICAL EFFORT: Work is performed in a modern office environment. Most tasks are
performed while sitting or standing
