The Position
The City of Lake Oswego is seeking a dynamic and effective administrative support person to provide exceptional customer service for the Adult Community Center Division of the Parks and Recreation Department. This position is represented by the Lake Oswego Municipal Employees’ Association/ American Federation of State, County and Municipal Employees (AFSCME).
This is a year-round position, up to 20 hours per week at the Adult Community Center.
Key Responsibilities
- Promote positive image and spirit of the Lake Oswego Adult Community Center.
- Receive telephone calls and office visitors; answer general inquiries, direct them to appropriate staff, and take accurate messages.
- Register individuals for trips, activities, and services.
- Assist with processing donations and payments.
- Operate office equipment, such as computers, telephone systems, copiers, and fax machines.
- Assist in coordination of center electronic and print media including website and brochures.
- At direction of Supervisor, assist with projects, including those working with volunteers, members of the public, Center members and other staff.
- Handle sensitive situations with the public skillfully and diplomatically.
- Provide support and information to Center members, which may include high level of interaction.
- Act as an information source and provide feedback on organization policies and procedures.
- Conduct research, information gathering, document preparation and analysis for assignments including use of existing databases, and creating new database(s).
- Gather, compile and compute information and figures for a variety of reports.
- Assist in coordination of special projects, fundraisers and department activities.
- Perform typing assignments; proofread, research, gather, compile, and compute information and figures for a variety of reports.
- Set up and maintain filing systems, manuals, records, and spreadsheets.
- Perform bookkeeping, receipting and/or accounting/budgeting-related duties.
Education and Experience Requirements
Preferred candidates will have one year of related experience or any equivalent combination of education and experience to successfully perform the duties of the position. Candidates must be able to communicate with the public and City employees in a clear, tactful and courteous manner. Desired candidates will be proficient with Microsoft Word, Excel and Outlook; skilled in data entry and web page maintenance; able to use general office equipment and accurately type and proof documents in a timely manner. Must be able to use the keyboard and use general office equipment such as computers, printers, and fax machines. This position is subject to mandatory participation in electronic funds transfer (EFT) for payment of net wages (i.e., Direct Deposit or PayCard).
