The City of Lake Oswego is looking for a dependable, responsible contributor committed to professionalism, excellence and success. Under the general direction of the Recreation Deputy Director, LORAC Superintendent, Administration and Recreation Supervisors, this position supports the Sports, Golf, Outdoor, Special Events, Cultural, Fitness and Aquatics Divisions. General duties include assisting with registration system administration, managing personal service contracts, marketing programs, and performing related office support duties as needed. This position is represented by the Lake Oswego Municipal Employees’ Association (LOMEA) / American Federation of State, County and Municipal Employees (AFSCME).
This is a flexibly staffed series. Appointments may be made at either of the two levels based on employee’s skills, knowledge, ability and experience. Incumbents appointed as an Administrative Support I may later be reclassified as an Administrative Support II subject to meeting the requirements of the LOMEA/AFSCME collective bargaining agreement.
The hours for this position are subject to seasonal changes. At this time, one shift is scheduled for Monday through Friday, 5:00am-1:30pm. The other shift is scheduled for Monday through Friday, 1:00pm-9:30pm.
The position is located at Lake Oswego Recreation and Aquatic Center, 17525 Stafford Road and reports to the Parks & Recreation Administration Supervisor.
Administrative Support I
- Processes Reservation applications, registrations, payments, and related materials.
- Provides employees with office supplies.
- Assists in preparing in-house training and communications materials.
- Prepares a variety of regularly scheduled reports.
- Uses automated office equipment such as a computer to compose and type letters, newsletters, reports, and other materials.
- May be required to accept payments and account for monies received.
- Performs other duties of a similar nature or level.
Administrative Support II
Incumbents may perform any of the duties of an Administrative Support I and these additional duties:
- Performs typing assignments; proofreads, researches, gathers, compiles, and computes information and figures for a variety of reports.
- Sets up and maintains filing systems, manuals, records, and spreadsheets. Maintains various databases.
- Assists in the preparation of reports, graphs, and presentations using spreadsheet and graphics software.
- Performs bookkeeping and/or accounting/budgeting-related duties.
- Manages program registrations.
- Attends meetings, taking and transcribing minutes of proceedings.
- Independently prepares correspondence.
- Edits and proofreads documents and correspondence for other members of department.
- Performs other duties of a similar nature or level.
Other key responsibilities may include but are not limited to:
- Coordinate and prepare individual personal service contracts
- Act as contract liaison to City Attorney’s office
- Administer registration software and system management
- Review and edit publications and website content
- Back up coverage for front desk staff
- Take minutes for public meetings
- Maintain records to include filing, data entry, reporting and documentation Including but not limited to contracts, insurance information, background checks, scholarship applications and department statistics
- Communicate with customers utilizing electronic methods, direct contact and postal mailings
Administrative Support I
Graduation with a High School diploma or G.E.D and six months to one year of general office support work experience or related field.
Administrative Support II
Graduation with a High School diploma or G.E.D and two to four years of general office support work experience or related field.
A typical way of obtaining the knowledge, skills and abilities outlined above; or an equivalent combination of training and experience sufficient to successfully perform the essential duties of the job such as those listed above.

Candidates will be personable and professional; whose strengths include an ability to build rapport and communicate effectively with internal and external customers. The selected candidate will need to deal with openness to new ideas and concepts, and works cooperatively in a group setting. This position is subject to mandatory participation in electronic funds transfer (EFT) for payment of net wages (i.e., Direct Deposit or PayCard).
