The Cultural Programs Coordinator (Washington Heights Arts Center/WHAC), as part of the Heritage, Culture and the Arts (HCA) Division of the Community Resources Department, builds and celebrates a creative community through the development and implementation of innovative arts experiences for an increasingly diverse audience, while increasing revenue in a way that supports HCA’s mission. This detail-oriented position is responsible for the development of all adult arts and fine craft classes for the HCA Division, while overseeing instructional staff, fiscal management, and the promotion and overall organization of program area. The Cultural Programs Coordinator (WHAC) is also responsible for the implementing programmatic and temporary program elements of the Lakewood Public Art Plan.
Essential Duties and Responsibilities
Incumbent is accountable for all duties of this job and other projects and responsibilities may be added at the City’s discretion. Employees must be able to perform the essential duties of this job with or without reasonable accommodation.
  • Develops, coordinates, implements, and evaluates programs and activities for diverse audiences that ensure quality standards and best practices are upheld and promote a community of inclusion, diversity, and accessibility.
  • Works in collaboration with all HCA programmers and supervisors as a member of a team to create division wide programming consistency and goal-driven, creative programming innovation.
  • Interviews and hires potential teaching artists, schedules and monitors classes, works with teaching artists regarding class issues, surveys and addresses participant questions and needs, conducts annual performance reviews and program audits.
  • Manages programming oversight within the registration software system.
  • Maintains cooperative planning and working relationships with facility coordinators and ensures that updates on program and activity changes are communicated to appropriate facility, front desk, and program staff as well as participants.
  • Works with Marketing Team to create promotion and advertising of programs through social media promotion and the development of program flyers, registrations, brochures, newsletters, and calendars and provides input to marketing staff in the development of print and digital promotional materials.
  • Establishes annual program revenue and budgetary targets in partnership with Arts Programming Curator and evaluates and analyzes class performance and revenue generation to ensure services provided to the community are justified, competitive, and follow current market trends.
  • Responsible for implementing programmatic and temporary program elements of the Lakewood Public Art Plan under supervision of Arts Programming Curator to ensure public art plan alignment
  • Maintains awareness of Community Resources, Public Art, and Heritage Culture and the Arts and WHAC strategic and master plans and ability to assist with action items as requested.
  • Organizes, inventories, and purchases program materials/equipment in collaboration with Facility Coordinator.
  • Performs other duties as assigned.
Reporting Relationships
  • Supervision Received: Receives direct supervision from the Arts Programming Curator.
  • Supervision Exercised: Directs activities of the variable arts instructional staff and volunteers.
Knowledge, Skills and Abilities
  • Detail oriented with strong management and organizational skills.
  • Knowledge of arts curriculum planning.
  • Ability to handle urgent/emergency situations.
  • Effective oral and written communication skills.
  • Ability to use discretion and independent judgment.
  • Must be able to work independently and as a team member.
  • Ability to provide direction to and oversee variable instructional staff and volunteers.
  • Must have ability to transport oneself to off-site locations.
  • Background check required.
Technological Skills
  • Computer and software proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Adobe
  • Familiarity with CivicRec, Workday and other software programs as systems evolve over time
Education and Experience
  • Education: High School Diploma or equivalent. Bachelor’s degree in visual arts, Arts Education, Arts Administration, Museum Studios or related field are preferred.
  • Experience: Two or more years of experience in community-based cultural arts programming, public art, cultural programs. Experience working within a community arts studio center and/or working with artists.
Certification/Licenses/Specialized Training
  • Current CPR and First Aid certification or the ability to obtain within six months of hire
Working Conditions and Physical Requirements
Must successfully complete and maintain required state or departmental physical standards and certifications.
LIGHT WORK: Exerting up to 30 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects. If the use of arm and/or leg controls requires exertion of forces greater than that for sedentary work and the worker sits most of the time, the job is rated for Light Work.
