The Community Events Coordinator acts as a primary point of contact, planner, marketer, implementer and evaluator for the city’s signature community events produced through Lakewood’s Heritage, Culture and the Arts (HCA) division. Current events include Cider Days, Sounds Exciting! Summer Concerts, Rockin’ Block Party, Big Belmar Bash and Lakewood Lights.
Essential Duties and Responsibilities
Incumbent is accountable for all duties of this job and other projects and responsibilities may be added at the City’s discretion. Employees must be able to perform the essential duties of this job with or without reasonable accommodation.
- Leads all aspects of city produced outdoor community events located at Heritage Lakewood Belmar Park and other large key events such as the Big Belmar Bash partnership in downtown Belmar. Responsibilities include development of an annual HCA community event plan that is inclusive and collaborative, start to finish event production management and troubleshooting, hiring, training, supervision and review of variable event assistants, communication of relevant event details with internal partners, serves as an advisor for other departments and city events, and assumes additional City-event responsibilities as assigned.
- Provides clear event related direction, communication, training and supervision to colleagues, event assistants and volunteers throughout the event planning, implementation and debriefing process. Systematically and informally, seeks and shares event related feedback from all for the purpose of improving future events.
- Develops, proposes and manages budgets, contracts, payments, and records for all community events to meet established revenue goals. Collaborates with the City’s Resource Development Supervisor to determine business solicitation plan and secure sponsorships and/or donations for HCA events.
- Collaborates with the Community Resource marketing team to develop and implement effective event marketing and promotional plans. Promotes community events through social media, public speaking and marketing collateral (flyers, posters, banners, postcards, etc.)
- Collaborates with HCA Volunteer Coordinator to develop meaningful volunteer roles that support the success of community events. Communicates information about events to volunteers. Responds to event related volunteer inquiries. Supports the coordination of volunteer hospitality for events. Provides emergency training, protocols related to creating a welcoming and inclusive environment, orientations and “day of” briefings and support to volunteer community assigned to events.

- Supports museum operations and functions as an integral part of the Heritage Lakewood museum team. Actively involved in short and long-term planning related to HCA facilities and programs as appropriate.

Reporting Relationships
Supervision Received: Receives general supervision from Heritage Lakewood Belmar Park Administrator
Supervision Exercised: Oversees the work of variable employees, interns and volunteers.
Knowledge, Skills and Abilities
- Ability to create and execute detailed logistical plans. Knowledge and experience in booking talent, contracting, tracking and reporting event attendee numbers, and solicitation and sponsorship ‘packaging’ related to events planning.
- Ability to negotiate with a variety of businesses, community volunteers and others on behalf of the HCA Division.
- Ability to demonstrate good judgment / problem-solving skills in a professional, creative and timely manner.
- Knowledge of local, state and regional history related to planning mission related events.
- Ability to work long hours including evenings and weekends at community events and programs as required.
- Ability to respond effectively to angry, frustrated or upset individuals.

Education and Experience
A combination of job-related education and experience demonstrating the equivalent knowledge, skills, and abilities required to effectively perform the functions of this position may be considered, as determined by management.
- Education: High School degree or equivalent. Bachelor’s Degree in Recreation, Humanities, Not-for-Profit Management or related field is a preferred qualification. Bilingual skills in Spanish is a preferred qualification.
- Experience: 3 years’ experience in a leadership role producing large outdoor community events.
