GENERAL STATEMENT OF DUTIES: Performs a variety of complex clerical duties as required to expedite the preparation and processing of court cases, records and reports for the Lone Tree Municipal Court. Also performs a wide variety of professional administrative support duties in support of the front desk including acting as a back-up to the front desk administrative assistant. This position is under the general supervision of the Court Administrator.
EXAMPLES OF DUTIES: (The following essential job functions and examples of duties are illustrative only and are not intended to be all inclusive. Duties may be modified, added or deleted at the discretion of the Court Administrator.)
- Attends court on Thursdays (approximately from 8:00 am to 6:00 pm) and prepares docket in advance, files for judge and prosecutor and assists customers in court.
- Provides counter and phone assistance to the public. Customer service duties include but are not limited to: scheduling court dates, receiving and recording all payments received in person, via phone or through the mail, posting and releasing of bonds, preparing jail orders, providing information relating to municipal court and directing customers to other agencies as appropriate.
- Processes all incoming summons and documents related to municipal court offenses and maintains detail record of cases received.
- Responsible for providing administrative support during court (day and/or night) sessions.
- Receives filing fees, accounts for and transmits fees, issues summons, subpoenas and writs of execution. Also receives fines, forfeitures and fees on traffic and other municipal offenses.
- Maintains and schedules court docket and the judicial calendar.
- Schedules motion hearings, creates letters, forms, judgments and other court related documents.
- Coordinates and collaborates with the City Prosecutor.
- Retrieves and accesses CCIC records for arrest and driving histories.
- Maintains court filing system.
- Schedules and prepares for jury trials and trials to the court.
- Processes bench warrants after judge approval, this includes accurate warrant entry into the CCIC/NCIC system.
- Assists with front desk duties.
- Other duties as assigned.
QUALIFICATIONS
Knowledge, Skills & Abilities

- Strong written and verbal communication skills with the ability to effectively communicate and interact with all levels of personnel within the City and the general public in a positive and cooperative manner.
- Ability to establish and maintain effective working relationships with court customers and citizens; ability to handle sensitive situations with tact and diplomacy; maintain confidentiality; communicate effectively both orally and in writing.
- Knowledge in compiling and maintaining statistical reports.
- Ability to operate standard office equipment including but not limited to a computer, calculator, copiers and other general office equipment.
- Proficient knowledge of Microsoft Office applications. Ability to create spreadsheets, mail merges and effectively utilize Microsoft Outlook.
- Knowledge of principles and procedures of basic record keeping.
- Knowledge of customer relations techniques, i.e. fostering a positive attitude, maintaining a courteous, helpful and professional demeanor.
- Strong attention to detail.
Experience and Training Guidelines
- Requires a high school diploma or equivalent; and
- Previous experience with clerical or administrative support and customer service experience is required.
- Prior work experience as a court clerk, paralegal, customer service clerk or administrative clerk strongly preferred; or
- An equivalent combination of administrative clerk education, training or work experience which provides the knowledge, skill and ability required to perform the essential functions of the position.
