Job Description
This position requires someone who is able to follow processes, likes detailed work, and meets deadlines. Have you had experience preparing Invitation to Bid (ITBs), Request for Qualifications (RFQs), and Request for Proposals (RFPs)? Do you have experience designing regular reporting templates and formats to meet contract and grant requirements? Do you work well in both the creative and analytical worlds? If so, you may be the perfect candidate for our Grants Specialist position. This position is responsible for tracking city contracts associated with grant projects, preparing appropriate bid documents, assisting with bid openings, scoring, and selection, and preparing monthly and quarterly grant reports and reimbursements. It requires someone who can research new fields and areas, prepare scope of work and grant applications or reports, and ensure compliance with city-wide purchasing policies.
Examples of Duties:
- Prepare/maintain detailed files/information on all active contracts/grants for the city.
- Draft/finalize RFPs, RFQs, RFIs, & ITBs related to grant activities.
- Conduct bid openings and selection processes for the city.
- Prepare/submit grant reports and reimbursements in a timely manner.
- Monitor grant activities to ensure compliance.
- Assist with the preparation and completion of grant applications for the city.
Abilities and Qualifications:
- Prepare grant reports and reimbursement documentation.
- Understand governmental purchasing policies and procedures.
- Collect pertinent information from subject-matter experts to assist with the completion of grant reports and applications.
- Ability to maintain and prepare detailed spreadsheets and information related to grants and contracts related to grants
- Ability to communicate effectively both verbally and in writing.
Minimum Educational Requirements: Bachelor's degree in business, public administration, or related field.
