Purpose
The Court Services Assistant 1 and 2 performs customer service, court case preparation and processing, and administrative functions to support the efficient operation of the Municipal Court.
Essential Functions
The essential functions performed depend upon the assignment and job level.
Customer Service:
- Provide case and policy/procedure-related information to internal and external customers by phone, mail, email, and in-person.
- Review incoming court correspondence and disseminate information appropriately.
- Check in defendants, answer basic court questions, and roster defendants for court appearances.
- Provide customer service to the reception area during business hours, ensuring timely responses to inquiries.
Court Case Preparation and Processing:
- Prepare cases for court appearances.
- Ensure accurate and timely case-related data entry for the Court’s Case Automated Tracking System (CATS).
- Ensure data accuracy by updating case information and cross-referencing data from internal and external systems.
- Update case files by attaching incoming documentation.
- Verify and update personal information for defendants.
Administrative Support:
- Support records retention efforts, including storing and archiving hard-copy records, maintaining files as outlined in the policies and procedures manual.
- Assist with training staff on Court Services Section procedures.
- Participate in staff meetings and staff development activities.

Conditions of Employment
The Court Services Assistant 1 and 2 must:
- Pass a Federal Bureau of Investigation (FBI) Criminal Justice Information Services Division (CJIS) background investigation and clearance check and maintain throughout employment.
Minimum Requirements
Court Services Assistant 1:
- One year of full-time experience in an office or court setting performing administrative support duties closely related to the essential functions listed above.
Court Services Assistant 2:
- Two years of full-time experience in an office or court setting performing administrative support duties closely related to the essential functions listed above.
Equivalent combinations of education and experience may be considered.

Knowledge, Skills, Abilities & Other Characteristics
With greater responsibility, Court Services Assistants 2 need an elevated knowledge base and skill set to perform the more complex functions required of them.
Technical:
- Ability to learn and apply clerical procedures, court operations, and administrative policies.
- Knowledge of administrative support methods, systems, and terminology.
- Knowledge of customer service best practices and the ability to incorporate them into operations.
- Intermediate to advanced skill in using standard computer applications such as Microsoft Word, Excel, and Outlook.
- Ability to learn and efficiently utilize Court system software and databases.
- Ability to read and understand work-related documents such as court documents, policies, procedures, and manuals.
- Ability to accurately maintain numerical and alphabetical filing systems.
Communication and Interpersonal:
- Verbal communication skills to share information and respond to questions clearly.
- Written communication skills to prepare clear and concise business correspondence and reports, including the ability to proofread documents.
- Ability to work independently and as part of a team.
- Ability to build and maintain effective working relationships with fellow staff, management, elected officials, judges, court staff, attorneys, other City staff, community partners, and the general public.
- Ability to work cooperatively and fairly with people whose backgrounds may differ from one’s own.

Current Salary
COURT SERVICES ASSISTANT 1 (Pay Range 6GN):
The current starting salary is $45,807 annually, and the resident incentive starting salary for City of Milwaukee residents is $47,181 annually.
COURT SERVICES ASSISTANT 2 (Pay Range 6IN):
The current starting salary is $48,097 annually, and the resident incentive starting salary for City of Milwaukee residents is $49,540 annually.
Appointment will be made in accordance with the City of Milwaukee Salary Ordinance.

Selection Process
THE SELECTION PROCESS will be job related and will consist of one or more of the following: an evaluation of education, experience and/or responses to supplemental questions; a written or performance test, a structured interview, or other assessment methods. The Department of Employee Relations reserves the right to call only the most qualified candidates to structured interviews and performance examinations. Structured interviews may include written exercises. Selection process component weights will be determined by further analysis of the job.
