Definition

This is a full-time, mid-level, administrative support position. An individual in this position provides administrative, technical, and clerical support to the Streets & Drainage Division of the Public Works Department. Reporting relationship : Assistant Director of Public Works

Examples of Work

  • Compiles, prepares and distributes various reports; manages and maintains daily calendar and conference room schedule; organizes and sets up meetings; makes travel arrangements; and processes requests for information;
  • Manages and maintains work order system; inputs work orders; manages materials and inventory;
  • Sets up and oversees administrative policies and procedures for the Division, Public Works Department and other internal customers of the City;
  • Prepares invoices, correspondence, memos, letters, financial statements and other documents using business specific software such as Microsoft Word, Excel, Outlook, PowerPoint, etc.
  • Designs, develops and maintains Alpha and / or Numeric filing systems; orders office supplies and equipment; prepares purchase requisitions; assists with the development of the division's budget;
  • Answers telephone; takes messages, greets visitors; open, process, reads and determines best course of action directed by mail content; sends and receives faxes, electronic mail, other documents or submissions, including reports to determine their significance and who to receive and respond;
  • Performs other related duties as assigned;
  • Subject to 24-hour recall.

Education, Experience, or Certification

  • An Associate's degree with experience combined or
  • Two (2) years relevant professional experience.
