PRINCIPAL PURPOSE OF JOB:
To provide clerical assistance to the Court Clerk in administrative support to the Municipal Judge and Court Services.
SCOPE OF RESPONSIBILITY:
Under the general supervision of the Court Clerk, the Deputy Court Clerk performs a variety of clerical, courtroom and administrative duties for the Municipal Court by following established policies and procedures based upon Mississippi statues, rules and local ordinance.
ESSENTIAL JOB FUNCTIONS:
•Assist with clerical and administrative activities involving court records and
legal document processing including receipt, input,
and trial court scheduling.
•Ensures proposed policies and procedures for the receipt and
accounting of fine payments, issuance of warrants, scheduling of
court functions.
•Assist Judge with responses to the public, defendants, and
attorneys to clarify rules, regulations, and court operation.
•Assist in the preparation of annual budget and annual report
and other report.
•Import documents and scans traffic, parking and criminal
misdemeanor affidavits into computer system.
•Uses computer to retrieve court case information and/or update
defendant information.
•Electronically file and retrieve court cases and affidavits.
•Enters pertinent information into the Court’s computerized
system on all court cases for tracking.
•Prepare court dockets for court presentation.
•Notifies defendants and attorneys of court appearances and
prepares subpoenas.
•Schedules court trials, initial arraignments, hearings,
and special settings.
•Assists judge in courtroom and coordinate courtroom activity.
•Handles and process cash payment of fines and/or serve as
a collection or warrants clerk.
•Opens and verifies mail, removes and records checks, cash,
money orders and other court related documents.
OTHER DUTIES:
- Responds to record requests in a timely manner including
certifying documents
- Scans and records data into the courts computerized
system and on to the appropriate forms
- Verifies data for accuracy and completeness.
- Answers telephones and responds to requests
from citizens regarding fines.
- Maintains a high level of professionalism and confidentiality.
- Greets visitors and directs general public to appropriate area.
- Signs correspondence and official documents as needed.
- Other related duties as assigned.
QUALIFICATIONS:
•High school diploma or equivalent (GED) and some formal
training in appropriate office discipline or equivalent
on-the-job training and experience.
Licensing and Certifications
- As required by Mississippi Statue
KNOWLEDGE, SKILLS, and ABILITIES:
Must possess required knowledge, skills, abilities and experience and be able to explain and demonstrate, with or without reasonable accommodations, that the essential functions of the job can be performed.

- Knowledge/ability to learn court system operations.
- Ability to identify and initiate work tasks with minimal supervision.

- Must be able to maintain confidentiality of Court documents and records.
- Ability to demonstrate a working knowledge of Microsoft Office programs including Word, Excel, Outlook and Adobe Acrobat.
- Possess strong customer service skills with the ability to remain calm in sometimes stressful situations.
- Ability to maintain harmonious and effective working relationships with other employees, supervisor and other departments.
PHYSICAL REQUIREMENTS:
Physical requirements include occasional lifting/carrying of 10 or more pounds: normal visual acuity, speech and hearing: normal hand and eye coordination and manual dexterity necessary to operate computer keyboard and basic office equipment. Sitting, standing, reaching, walking, and kneeling will be required to perform the essential functions of the job.
