DEFINITION
The Administrative Assistant for Community Development and Economic Development Departments provides vital support to the department by coordinating administrative tasks, facilitating communication, and ensuring efficient operations. This role is key in assisting the team to achieve its goals of fostering community engagement and promoting economic growth.
ESSENTIAL FUNCTIONS
Administrative Support:
- Manage and maintain departmental schedules, calendars, and appointments.
- Prepare, proofread, and distribute correspondence, reports, presentations, and other documents.
- Organize and maintain electronic and physical filing systems for records, contracts, and other important documents.
- Monitor office supplies and coordinate procurement as needed.
- Perform other administrative duties as assigned to support the departments’ objectives.
Communications and Coordination:
- Coordinate and support meetings, including preparing agendas, taking minutes, and distributing action items.
- Facilitate communication between departments, ensuring timely follow-ups and responses.
Event and Project Support
- Assist in planning and executing community engagement events, workshops, and economic development initiatives.
- Monitor project timelines and provide administrative support to ensure deadlines are met.
- Collaborate with team members to track and report on project progress.
Data Management and Research
- Maintain and update databases of community contacts, economic development resources, and project information.
- Conduct research to support grant applications, program development, and policy recommendations.
QUALIFICATIONS
Education: High school diploma or equivalent required; Associate’s or bachelor’s degree in business administration, public administration, or a related field preferred.
Experience: 2 years of administrative or office management experience, preferably in community development, economic development, or a related field.
Skills:
- Strong organizational and time-management skills with the ability to handle and prioritize multiple tasks and deadlines.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.
- Ability to work collaboratively with diverse stakeholders.
- Attention to detail and a proactive approach to problem-solving.
Physical Demands:
Applicants will spend time both inside and outside the office environment. They may be required to sit or stand for prolonged periods and may also need to walk, climb, and navigate uneven terrain, as well as ascend and descend steps and embankments.
Other Demands:
All applicants will undergo a background screening and may be required to attend community events hosted by the City.
