What are the responsibilities and job description for the Scheduling Assistant position at City of New York?
The Office of the Bronx Borough President is responsible for advocating for the entire borough its residents and its best interest within local and state government. The responsibilities of the Borough President vary from directly communicating with the Mayor and City Council on budget priorities and reviewing major land use decisions to appointing members to community boards and other Citybased panels and acting as a liaison between residents and city agencies regarding numerous concerns. The scheduler is a pivotal member of the executive team for the Bronx Borough President. It is important to consider how the scheduling staff will work cooperatively and strategically with other staff. The workload will be heaviest when the legislature is in session. Under the supervision of the Director of Operations the scheduler is tasked with the following responsibilities :
Greeting visitors and preparing meetings spaces.
Answering screening or forwarding calls providing information taking messages or scheduling appointments.
Determining nature and purpose of visit and directing or escorting visitors to specific destinations.
Scheduling appointments and maintaining and updating appointment calendars.
Filing and maintaining records.
Collecting sorting distributing or preparing mail messages or courier deliveries.
Processing and preparing memos correspondence travel vouchers or other documents.
Preparing meeting agendas and / or collect briefings for upcoming meetings at least 24 hours in advance.
Keeping drivers updated on locations for meetings and ensure their contact information is on the calendar.
Coordinating catering for luncheons committee board and other meetings for the Borough President.
Schedulers also manage cancellations and cancellation notifications
Monitoring and tracking the Borough Presidents incoming telephone calls manage messages and return calls as requested
Partnering with the communications team and district office staff to schedule radio and television press interviews

Qualifications :
Qualification Requirements
1. High school graduation or equivalent and three years of experience in community work or community centered activities in an area related to duties described above; or
2. Education and / or experience which is equivalent to 1 above.
