Description
Performs duties of a responsible nature assisting a division head or administrative superior; does related work as required.
This is responsible administrative, technical and difficult clerical work performing duties which help relieve an administrative supervisor of assigned operational duties. Work is performed under the general supervision of an administrator, division head or functional supervisor. Work products are reviewed through personal conferences, proper preparation and execution of written documents, or evaluation of completed assignments to ensure conformance with applicable policies, procedures, laws, rules and regulations.
An employee in a position allocated to this class may have considerable contact with the general public, City officials and City employees. Work performed is often of a sensitive or confidential nature.
Essential Job Functions
- Analyzes and recommends solutions to administrative problems;
- Develops, installs and maintains office systems, forms and procedures;
- Reviews, evaluates and processes legal documents for recording, indexing and filing in accordance with legal and procedural requirements;
- Supervises and maintains complex filing systems and records of a confidential nature;
Supervises the processing of time sheets for payroll :
Assists in review, computation and processing of reimbursement requests, annual and quarterly reports;Researches records and tabulates information as required;Provides answers to inquiries to the general public, public officials, City employees or other individuals requesting assistance or public information.
Minimum Requirements
High school diploma or G.E.D.
Ability to type from clear copy or rough draft at a minimum of 30 net words per minute preferred.
Plus, two to three (2-3) years' experience of an administrative, technical or high-level clerical nature, in work within a required area of specialization
An equivalent combination of training and experience which provides the required knowledge, skills and abilities.
