Hourly, FLSA Non-Exempt - TPOAM Bargaining Unit Position - Grade 2

JOB SUMMARY:
The City of Oak Park is currently recruiting an Administrative Clerk II, to work in our Public Safety Department's Records Division!
This position of Administrative Clerk II is responsible for providing a multitude of clerical support to the Records Division, including, but not limited to, utilizing computer systems and reviewing manual files to locate information. Additionally, this position focuses on data entry through the use of Microsoft Office 365 and various computer-based systems. This position will also provide a high-level of customer service over the phone and in-person and is responsible for obtaining accurate information, assisting with records, licenses, and various filings, as well as collecting fees and accurately accounting for all incoming and outgoing monies. Lastly, the position will assist with special projects and perform related duties as assigned.
ESSENTIAL FUNCTIONS & RESPONSIBILITIES:
- Operates a personal computer for functions such as, but not limited to word processing, data entry and information retrieval.
- Handle daily routine financial transactions like receiving and recording fees or other funds collected through the mail or over the counter.
- Handles daily cash deposits.
- Efficiently organize and maintain filing systems, both manual and computerized.
- Confidently and efficiently resolve customer conflicts and complaints in person and over the telephone.
- Maintains a high level of respect, de-escalation, and exceptional customer service to the City's residents and visitors.
- Open and route incoming mail and prepare outgoing mail.
- Order supplies and materials.
- Operation of copy machine, fax machine and multi-line telephone.
- Perform other clerical duties as assigned
- Perform other duties and special projects, as assigned.
KNOWLEDGE, SKILLS, & ABILITIES
- Ability to lift and carry a minimum of 15 pound loads.
- Ability to quickly and accurately type and enter data.
- Ability to assemble data and to prepare and maintain correspondence, records, and reports.
- Demonstrated knowledge in Microsoft Office 365 applications (i.e. Microsoft Word, Excel, etc.)
- Ability to accurately take cash/check/credit card payments and balance drawer each day
- Ability to navigate through computer and internet resources.
- Ability to develop and maintain cooperative working relationships with fellow employees, City officials and general public
QUALIFICATIONS:
REQUIRED:
- Valid driver's license
- High School Diploma or General Educational Development (GED) test
PREFERRED:
- College or University-level coursework in Criminal Justice, Public Administration, or other closely related field
- Prior experience working in a confidential office-setting
SPECIAL WORKING CONDITIONS:
The Administrative Clerk II must be available in-person for all dates of assignment.
SALARY RANGE:
This is a full-time, TPOAM Bargaining Unit position with an hourly rate of $18.9283 - $22.5806, with benefits as outlined in the current TPOAM Collective Bargaining Agreement.
WORKING CONDITIONS/PHYSICAL DEMANDS:
While performing the duties of this job, the employee is regularly required to speak, hear, and use hands to handle, or feel and reach with hands and arms, and frequently grip, hold or clasp with hands and fingers. The employee must occasionally bend forward or backward at the waist, and occasionally lift and/or move items of up to 24 pounds following appropriate safety procedures. The employee will rarely have to kneel, squat, or bend at the knees/ankles to work at low levels.
The employee will continuously perform regular job functions while doing tasks that involve the use of legs and/or feet for walking, standing in an upright position without movement, and reaching overhead with arms raised above shoulder height. This employee will also continuously perform task that involve finger movements for operating computers/keyboards and writing. In order to perform job functions, the employee will continuously be required to remain seated, or walk considerable distances in the facility on multiple surfaces.
