What are the responsibilities and job description for the Administrative Assistant - Public Works (Part-Time) position at City of Parkland?
This position performs clerical and other office duties for the Public Works Department. This position assists the Senior Director of Operational Services & Projects with general administrative support for the Public Works Department.
- Answers telephones and directs calls accordingly, in a timely, courteous and positive manner.
- Receives public questions, provides answers and solutions, in person and by telephone; responds to inquiries from employees, citizens, and others; and refers, when necessary, to the appropriate person or department.
- Assists the Senior Director, Assistant Directors, and Department Superintendents with all backup documentation for Purchase Order (PO) request in accordance with PO processes and procedures.
- Acts as a Department Liaison with the City’s Buyer in the Purchasing Department.
- Assists the Senior Director and Assistant Directors in preparing purchasing request forms.
- Assists with departmental timeclock discrepancies and reports any issues to the Assistant Director-Operations or Senior Director.
- Operates office machines as required.
- Receives, sorts, and distributes incoming mail.
- Duplicates, scans and distributes documents.
- Composes, types and edits correspondence, reports, memos, or other material as needed.
- Assists in the development of notices, flyers, brochures, newsletters, and other informational material.
- Performs other related duties as required/assigned.
- High School Diploma or GED.
- At least three (3) years of experience in an administrative position.
- Valid driver’s license with an acceptable driving record.
KNOWLEDGE, SKILLS, AND ABILITIES
- Knowledge of department practices and policies.
- Skill in Microsoft Office and Excel.
- Skill in the use small office equipment, including copy machines or multi-line telephone systems.
- Skill in using computers for data entry.
- Skill in using computers for word processing and accounting purposes.
- Ability to meet the public and establish effective working relationships with City employees, employees of other agencies, and the public.
- Ability to multi-task and maintain complex records and prepare accurate reports.
- Ability to work independently with little supervision.
- Ability to maintain confidential information.
- Work environment is typically performed in a safe and secure work environment that may periodically have unpredicted requirements or demands.
- The work is sedentary work and requires exerting up to 10 pounds of force occasionally and negligible amount of force constantly to move objects.
- Additionally, the following physical abilities are required: manual dexterity, hearing, mental acuity, repetitive motion, speaking, talking, and visual acuity.
