There is an opening in the Information Technology Services (ITS) department for an Account Clerk III. In this position you will report directly to the Department Budget Supervisor while working closely with a Budget Analyst II, Accountant II, and Accountant I. In this role you will process purchase requests, accounts payable invoices, good receipts and maintain inventory and fixed asset records. This position requires a great deal of contact with vendors and department personnel and will require extensive use of computerized systems.

The Day-to-day Responsibilities Of This Position Include

Accounts payable

  • Receive and route invoices to the appropriate staff for authorization.
  • Validate invoices against contracts and logging invoice details in spreadsheets.
  • Type invoice information into the City's financial system (SAP) for payment.
  • Reconcile account statements.
  • Manage vendor calls regarding the status of payments.
  • Monitor contract/purchase order balances.


Purchasing

  • Type purchase requisitions into the City's computerized financial system (SRM).
  • Receive goods ordered, which includes unpacking boxes, registering software, inventorying the items, typing goods receipt information into SRM to initiate payment to the vendor.
  • Answer questions from department personnel on the status of purchase requests/good receipts.


Asset/Inventory

  • Create low value asset/fixed asset records in accordance with Administrative Regulation 5.13 and ITS policies.
  • Issue low value/fixed asset tags as needed.
  • Maintain asset and inventory records, both electronic and hardcopy as needed.
  • Assist with the annual inventory process as needed.


Petty Cash Fund Custodian

  • Validate petty cash needs are valid.
  • Distribute cash to employees as needed.
  • Verify receipts and unused cash are returned.
  • Process receipts for reimbursement of the fund.


Other Duties as Assigned

  • Generate accounts receivable invoices.
  • Create journal entries.
  • Maintain SAP security access.
  • Ad hoc research and report generation.
  • Assist with training/ employee development funds requests.
  • Process bi-weekly payroll.


IDEAL CANDIDATE

  • Basic to Intermediate skills in Microsoft Excel.
  • Strong communication skills.
  • Basic accounting skills.


SALARY

Pay Range: $19.07 to $29.58 per hour.

Hiring Range: $19.07 to $26.83 per hour.

Minimum Qualifications

  • Three years of bookkeeping and clerical accounting experience,
  • including experience in preparing financial reports,
  • supplemented by courses in bookkeeping and accounting.
  • Other combinations of experience and education that meet the minimum requirements may be substituted.

Preferred Qualifications

The minimum qualifications listed above, plus:

  • One year of experience in SAP or a similar financial software system.
  • One year of experience in e-procurement.
