The starting salary range for this position is $67,210.93 - $77,292.57 depending on qualifications

This is a highly responsible professional and project managerial position with work involving special events, promotional activities, special projects, event coordination, and other department initiatives as well as professional administrative support. This position requires a high level of professional work in support of all internal functions including customer service and work order systems, interdepartmental coordination, budgeting, procurement, records retention, etc. The person assigned to this position will work closely in collaboration with community partners, third-party vendors and city departments. The incumbent is also responsible for assisting with data collection and reporting as well as innovating the Department's policies and procedures in support of efficiency and effectiveness measures as promulgated by the Director and management team. This position requires an enthusiastic team player and self-starter who can work cross-functionally and is not averse to risk or to trying out new ways of doing things. Facilitates the development of public trust and confidence in the City.

This position is an Essential classification and will require you to report to duty before, during, and immediately after a civil emergency.

ESSENTIAL DUTIES

  • Keeps the mission, vision and values of the City of Port St. Lucie at the forefront of decision making and action; builds strategic and collaborative relationships and interacts with others in a way that builds confidence and trust; provides excellent customer service by taking action to accomplish objectives, maintaining high levels of work and productivity by generating innovative solutions to work situations.
  • Communicates with partners and responds verbally, in person, and digitally to provide information about events.
  • Acts as the liaison to external entities and departments.
  • Responsible for department budget and individual event budgets.
  • Assists with coordinating and logistics for events as assigned.
  • Prepares reports and presentations and other materials as required.
  • Performs industry research as assigned.
  • Manages and facilitates third-party contracts.
  • Responsible for managing the event calendar.
  • Facilitates contract negotiations with vendors and manages the contract process from beginning to end.
  • Collaborates with city departments for events.
  • Represents the City and the Special Events Department at events as required.
  • Coordinate and execute logistics around events, groundbreakings, and City engagements.
  • Project manage the department's strategic plan and initiatives, from beginning to end.
  • Develops and maintains project management and monitoring records for each project and formulates written progress reports to the Department Director.
  • Provides varied executive support including Kronos, travel arrangement, allocations, p-card reconciliations, and requisitions for the department.
  • Manages the department's webpage.
  • Other duties as may be assigned.

MINIMUM QUALIFICATIONS

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Additionally, this position is required to work varied hours, as city events occur after normal business hours, holidays and on weekends. EDUCATION AND / OR EXPERIENCE

Graduation from an accredited college or university with a bachelor's degree required a major in Special Events is preferred. Three (3) years of experience in a related field preferred. Possession of a valid Florida Driver's License and clean driving record required.

KNOWLEDGE, SKILLS & ABILITIES

  • Knowledge of business English, spelling, and punctuation to prepare documents, compose letters, etc.
  • Knowledge of office management practices and procedures.
  • Knowledge of the Department and City's policies, procedures, and practices.
  • Knowledge of municipal government organization and services provided.
  • Proficiency in Microsoft Suite including Word, Excel, and PowerPoint.
  • Working knowledge of principles of budget preparation and monitoring.
  • Knowledge of bidding and contracting procedures.
  • Skill in public speaking.
  • Ability to access, input, and retrieve information from a computer.
  • Ability to organize, file, and retrieve volumes of written materials.
  • Ability to analyze a variety of administrative problems and to make sound recommendations.
  • Ability to establish and maintain effective working relationships with staff, consultants, the public, employees, and officials.
  • Comprehensive knowledge of the principles and practices applied to the organization, management and administration of public information policy to interact vendors, citizens, media and other community stakeholders.
  • Considerable knowledge of modern office practices with strong emphasis on computer literacy and applications appropriate to accomplishing job functions, i.e.; Microsoft Word, Excel, and PowerPoint and Adobe InDesign.
  • Knowledge of website management and internet technology.
  • Strong writing, editing, presentation and proofreading skills.
  • 24-hour availability during emergencies, such as hurricanes, and at other times to be scheduled in coordination with Communications Director.
  • Ability to work effectively with a wide range of audiences - including general public, elected leaders, management and community to create engaging communications.
  • Skill in communicating logically, persuasively and accurately in oral, written and presentation forms.
  • Ability to establish and maintain and effective working relationship with City departments, public officials, employees, and the public in an effective, courteous and cooperative manner.
