What are the responsibilities and job description for the Planning Administrative Assistant position at City of Ramsey?
The primary objectives of this position are to provide a variety of responsible administrative support functions for the Community Development Department, specifically the Planning Division which consists of Planning, Code Enforcement, Rental Housing Licensing and Inspections, Recycling, and Forestry. This may include but is not limited to; providing excellent customer service to residents, contractors, staff and others; routing phone calls; attending city events, scheduling meetings, writing business letters and documents, and counter help at all of the Community Development windows, which includes Planning, Building Inspections and Economic Development divisions. The position reports to the Planning Manager.
This is a full-time forty (40) hours per week AFSCME union position.
The full 2025 Wage Scale: Step 1 - $27.382 -- Step 2 - $28.751 -- Step 3 - $30.120 -- Step 4 - $31.489 -- Step 5 - $32.858 -- Step 6 - $34.227/hour DOQ

- Must have at least three (3) years of related experience in a responsible administrative support position -- Equivalent combination of education and experience will be considered
- Must have at least one (1) year of previous customer service experience
- Must have intermediate to advanced Microsoft Office knowledge and skills
- Must be able to accurately type at least forty (40) words per minute
- Must have data entry and data base management experience
- Must have excellent written and verbal communication skills
Desired Qualifications:
- Possession of a valid state driver's license with a good driving record
- Previous experience working for a county or municipality, especially within Planning or Community Development
- Associate degree in Business, Business, Industry & Technology, Administrative Specialist diploma or degree, or other additional applicable post-secondary training or education
- Experience using Laserfiche or other document imaging software
- Experience working with public data (public, private, confidential, non-public/protected non-public data) and records retention requirements
- Microsoft Office Specialist certification
- Provide administrative support to the positions within the Planning Division of the Community Development Department, which includes the Community Development Director, Planning Manager, Zoning Code Enforcement Officer, Rental Housing Inspector and City Planners
- Serve as the department receptionist and provide effective customer service in a courteous and helpful manner
- Maintain department records and files in an orderly and acceptable manner
- Compile commission agendas and reports for the Planning Commission, Environmental Policy Board, Development Review and inter-department meetings
- Use routine features of word processing, spreadsheet and other software applications
- Administer property identification numbers
- Manage addresses for new developments and address changes
- Manage land use and rental licensing applications
- Manage City resolutions
- Administer land use signs
- Back-up to other Community Development Administrative Assistant positions, as needed
- Responsible for covering and routing division phone calls, emails and mail
- Perform other duties as assigned (within the ability and resources of the Planning Administrative Assistant) at the verbal or written direction of the Planning Manager, Community Development Director or their designee
- Skilled at effective communication, both in-person and over-the-phone, as well as business writing
- Considerable ability to keep an organized schedule, follow-through, handle details accurately and meet deadlines
- Ability to learn and utilize basic software systems and keep up with advancing technology
- Ability to establish effective working relationships with City staff, elected officials and the general public
- Willingness to learn about functions of city government and other departments within the City
- Ability to work with processing payments and balance a daily deposit
