Department : Recreation, Parks, Historic and Cultural Affairs Pay Grade : 510 FLSA Status : Exempt Job Code : R816 JOB SUMMARY The purpose of this classification is to manage day-to-day operations and production needs of the City’s Cultural Arts Center, in addition to the planning and implementation of city-wide Cultural Events under the supervision of the Cultural Arts Coordinator and as envisioned in the Cultural Arts Strategic Plan. Responsibilities include stewardship of the Cultural Arts Center and its assets, as well as the coordination and supervision of all technical aspects of live theatrical productions and events, and client relations for in house, rental, and touring productions. The candidate must have extensive knowledge of all equipment and how to install, rig, troubleshoot, program, and operate lighting, sound, and scenic devices used to set the stage. In addition, the candidate is responsible for light administrative duties and budgeting as related to the facility and its programs and to the recruitment, training and management of hourly crew workers in a safe and efficient work environment. This leadership position offers the opportunity to consult in citywide initiatives involving cultural arts and performance production at multiple site and to bring quality production values to programming that excites, inspires and unites the community; providing the leadership and expertise required to facilitate production at its highest capacity; supervising cultural arts supervisors and part-time staff within the department; engaging with production / rental partners and rental protocols, and generally establishing the center and the Recreation and Parks Department as a hub of the arts and diverse and immersive cultural experiences in Roswell. ESSENTIAL JOB FUNCTIONSSupervises activities of assigned employees, volunteers, students, or other workers : supervises, directs, and evaluates assigned staff, processing employee concerns and problems, directing work, counseling, disciplining, and completing employee performance appraisals; conducts interviews and selects new workers; conducts or coordinates staff training activities.Coordinates daily work activities : organizes, prioritizes, and assigns work; monitors status of work in progress and inspects completed work; confers with assigned staff, assists with complex / problem situations, and provides technical expertise.Ensures compliance with all applicable laws, rules, regulations, standards, policies and procedures : initiates any actions necessary to correct deviations or violations.Consults with division manager, or other officials to review operations / activities, review / resolve problems, receive advice / direction, and provide recommendations.Oversees Crew in performing all essential role functions, including all relative facets of technical production and event readiness; supervises preparation of facility for each event in accordance with renter, partner, or touring performer’s contractual requirements.Manages relationships with all Co-Presenter groups, renters, and artists including negotiating scheduling, technical requirements, staffing, cost, and other issues which may arise.Provides customer service functions to the performers and renters by providing information and assistance related to facility services, events, technical fees, procedures, forms, or other issues; responds to questions / complaints, researches problems, and initiates problem resolution; updates the Coordinator and team with current event information.Oversees facility maintenance and repairs : performs routine inspections to ensure functionality and to identify any problems; inspects facility to ensure compliance with fire code regulations; coordinates maintenance and repair of building systems, light / sound equipment, and related equipment.Coordinates technical arrangements for presentation of shows, concert series, festivals, or other performances and events, including but not limited to : Center Stage, Family Series, Co-Presenter Series, Rentals. Supervises, trains, and evaluates part-time crew who assist with technical components of productions, including but not limited to : lighting, sound, set construction, projections / video, and stage management.Works with and manages relationships with vendors and suppliers of goods and services relating to facility management, maintenance, technical services, etc.Manages financial operations of Center and Cultural Events : submits draft annual budget and monitors expenditures to ensure compliance with approved budget; prepares bid documents for capital expenditures; prepares revenue reports reflecting monthly revenue and submits to management; oversees other revenue collections for ticket sales, concessions, facility rental fees, or other revenues; prepares and makes bank deposits.Creates and maintains a budget for production needs, including but not limited to crew salaries, maintenance and repairs of facilities and equipment therein, capital improvement requests, renovations and modernization of existing resources.Performs various administrative tasks : compiles statistical data pertaining to Center operations, analyzes data, and identifies trends; performs annual fee comparison studies of other performing art centers of similar size; assists Coordinator and Manager in overarching goals related to technical and facility assetsPrepares or completes various forms, reports, correspondence, performance appraisals, payroll documents, purchase requisitions, invoices, revenue reports, budget documents, graphs, charts, statistical reports, annual work plans, contracts, facility rental / usage records, newspaper articles, press releases, newsletters, or other documents.Receives various forms, reports, correspondence, time sheets, attendance records, job applications, budget reports, invoices, checks / payments, calendars, contract documents, newspaper copy, press releases, policies, procedures, manuals, directories, reference materials, or other documentation; reviews, completes, processes, forwards or retains as appropriate.Operates a personal computer, general office equipment, audio / visual equipment, cleaning equipment / tools, or other equipment as necessary to complete essential functions.Monitors inventory of equipment, forms, and supplies : ensures availability of adequate materials and equipment to conduct work activities; initiates orders for new / replacement materials.Ability to research and assist with submitting, tracking and reporting for grants and other funding opportunities.Communicates with supervisor, employees, volunteers, students, other departments, City officials, Board / committee members, patrons, audiences, community organizations, the public, artists / performers, consultants, vendors, service providers, outside agencies, and other individuals as needed to coordinate work activities, review status of work, exchange information, resolve problems, or give / receive advice / direction.Attends meetings, serves on committees, and makes presentations as needed.Maintains an awareness of new trends and advances in the profession; reads professional literature; maintains professional affiliations; attends conferences, workshops, and training sessions as appropriate.Promotes a collaborative environment which makes a connection with the community.Performs general / clerical tasks, which may include answering telephone calls, scheduling meetings, typing documents, making copies, sending / receiving faxes, filing documentation, or processing incoming / outgoing mail.Performs general cleaning / maintenance tasks associated with upkeep of Center facilities.Provides assistance to other employees or departments as needed.Performs other related duties as required. MINIMUM QUALIFICATIONSEducation and Experience : College degree in theater production, or equivalent experience with a minimum of 5 years’ experience in technical theater operations, including lighting, sound, and rigging systems. Leadership experience in live production technical direction and crew management. Ability to supervise a crew of stagehands, technicians, and carpenters. Ability to coordinate all facets of theatrical productions. Knowledge of industry tools, equipment, safety standards including Mac / PC, Q Lab, etc. Ability to work a flexible schedule to include evenings and weekends. Ability to meet and exceed client expectations by delivering superior quality customer service and teamwork.Licenses or Certifications : None Special Requirements : NoneKnowledge, Skills and Abilities : Knowledge of the principles, procedures and practices of performing arts facilities management.Knowledge of the operations and maintenance of the Cultural Arts Center and its equipment.Knowledge of the local / state performing arts and visual arts community.Knowledge of presenting performing arts programming.Knowledge of supervision and budgeting principles, procedures and practices.Knowledge of all technical production equipment, i.e. sound / light boards and other audio / visual equipment during events.Knowledge of back of house facilities and operations and is capable of overseeing them as required.The technical director must have an in depth knowledge of all stage and event-related technical equipment usedLighting (design, electrics, programming, operation)Design lighting plots based on production / show contentHang, focus, circuit, address and patch lighting fixtures as neededProgram shows using the ETC Ion lighting console and Q-labTroubleshoot lighting issues including but not limited to Data, Power, Fixture.Sound (design, setup, sound check, mix, breakdown)Set up and breakdown of audio systems including cabling, monitors, mics, and other audio equipmentProvide a high-quality live sound mix for various audio setups such as bands, theatrical productions, lectures, etc.Projection and video experienceThorough understanding of audio and video mediaStaying abreast of developments in lighting and audio technology and an ability to make recommendations for upgrades or improvementsAbility to develop and implement multiple programs; and effectively lead, motivate, and evaluate assigned staff.Ability to work varying hours, which includes evenings and weekends.Ability to evaluate, audit, deduce, and / or assess data using established criteria. PHYSICAL DEMANDS The work is medium, which requires the ability to exert light to medium effort that involves walking or standing most of the time. Work may involve some lifting, carrying, pushing and / or pulling of objects and materials of medium weight (20-50 pounds). Tasks also require the ability to perceive and discriminate colors or shades of colors, depth, texture, and visual cues or signals. Some tasks require the ability to communicate orally. SUPPLEMENTAL INFO General Description : The Cultural Arts Production Supervisor oversees all operations for the Cultural Arts facility. They are responsible for the physical needs of the building as well as the coordination and supervision of all technical aspects of live theatrical productions and events, crew management, and client relations for City productions, Co-Presenter events, and Community Rentals. Roswell Cultural Arts presents concerts, plays, lectures, film screenings, and community events. The candidate must have extensive knowledge of all technical equipment and how to install, rig, troubleshoot, program, and operate lighting, sound, and scenic devices used to set the stage. Roswell Cultural Arts Center has an ETC IONxe 2048 Console Lighting Board and Yamaha TF5 mixing console.
