What are the responsibilities and job description for the Administrative Technician - Code Compliance position at City of Seguin?
- Maintains specialized knowledge relevant to the divisions within the Code Compliance division, for example, planning and zoning, permits and inspections, contractor and business licensing, as well as food establishment/health and code compliance/enforcement.
- Performs direct staff support services for the Code Compliance Supervisor including general administrative support, filing of records, and scheduling.
- Assists customers of the Development Services Center (DSC). Provides information to the public including residents, contractors, food establishments, businesses and vendors by phone or in person at the front counter to ensure an understanding of department and City policies and procedures and general code enforcement procedures and services; listens to questions and explains procedures according to existing guidelines; responds to citizen and staff inquiries and complaints; refers citizens to the appropriate department source; coordinates or resolves problems of a moderate nature when appropriate.
- Sends annual invoices for Food Establishment licenses maintained by the Planning & Codes department. Prepares reports on licensing activity and maintains record. Prepares notices for expired and unpaid invoices.
- Assists the Code Compliance Officers and Health Inspectors with general tasks including scheduling inspections, assisting customers with permits/licensing, answering and returning phone calls/e-mails, answering general inquiries for information, creating reports, and filing records.
- Maintains records for mowing, debris removal or other code compliance corrective actions taken by the City’s contractor. Sends bills and collects payment from property owners. Prepares and files property liens for nonpayment of bills, and lien releases.
- Provides administrative support to the Code Compliance/Enforcement division to include creating cases, sending notices of noncompliance, assisting with record keeping, and answering general questions.
- Performs administrative duties for Building and Standards Commission to include: prepares and posts agendas and agenda packets, acts as recording secretary, and responds to requests for information and actions taken by the Board.
- Represents the department at meetings as assigned; acts as a liaison between the department and other staff or the public, coordinating resolutions when appropriate.
- Orders office supplies for the Code Compliance division and maintains an inventory of supplies for staff.
- Facilitates inter-departmental communication as necessary and provides customer support.
- Maintains electronic and paper files, records and documents in compliance with open meetings and open record acts, state and federal law and the city’s records retention policies.
- Uses computer to prepare, develop, and/or maintain forms, mailing lists, mail outs, reports, letters, memos, manuals, and other documents including updating the department’s documents online on the City’s webpage.

SUMMARY OF POSITION:
