Summary

The City of Soldotna has an immediate opening for a Parks & Recreation Administrative Assistant.

This position is open until filled, with the first review of applicants on 02 / 28 / 2025.

Under the general direction of the Parks and Recreation Director, or designee, this position provides a full range of administrative support functions to support the day-to-day operation of the Parks & Recreation Department. Functions as the primary point of contact for recreation facility rentals and department accounting support and assist with special projects and large events.

Detailed Work Activities

  • Acts as first point of contact for the department including customer service in person, by telephone, and electronically.
  • Respond to internal and external customer problems, resolve office system issues, and address non-routine public inquiries or complaints while maintaining the ability to respond quickly and calmly in emergency or stressful situations.
  • Serve as the department's financial agent insuring all aspects of the accounts payable and accounts receivable processes are completed accurately. Responsible for cash receipting, running reports, reconciling monies, and preparing deposits.
  • Coordinate rentals of recreation facilities for community events including contracts, scheduling, billing, and oversee document handling.
  • Prepare and distribute meeting / informational packets to the Parks and Recreation Advisory Board and attended quarterly meetings to record and prepare accurate meeting minutes.
  • Assist with the preparation of legislative documents including ordinances, resolutions and accompanying memorandums.
  • Conduct research, compile statistics and produce reports as assigned.
  • Assist with preparations for programs and special events, including printing and distributing promotional materials, assembling event-specific items and social media marketing. Perform general office duties such as word processing, copying, faxing, laminating, binding, organizing, and filing various documents and records.
  • Assist in maintaining records for department and maintain confidentiality when necessary.
  • May operate city vehicles in the performance of duties.
  • May require working occasional evening and / or weekend hours to assist with programs and events.
  • Additional administrative / clerical duties as may be assigned.

Desired Knowledge, Skills and Abilities

  • Employee must have excellent customer service skills and the ability to interact in a professional and courteous manner at all times, including situations that may be stressful and when dealing with uncooperative customers.
  • The ability to multi-task in high-pressure situations, work effectively as a team member, display flexibility in adapting to varying work tasks and assignments and completing work requiring a high level of attention to detail and accuracy is critical.
  • Considerable knowledge of basic accounting procedures and best business practices.
  • Possess strong English language skills, including spelling, grammar, and punctuation, with the ability to communicate clearly and concisely in both verbal and written form.
  • Proficient in Microsoft Office and general office skills including, but not limited to : typing, filing, word processing, spreadsheets, handling of telephone calls and voicemail system and managing direct inquiries from the general public.
  • Prior experience with event coordination and marketing.
  • Ability to work independently, prioritize workloads, meet deadlines and possess a strong sense of teamwork and cooperation.
  • Ability to work additional hours and / or different schedule as required.
  • Qualifications

  • High school diploma or equivalent is required
  • Minimum of four years relevant administrative experience. Experience in an office setting, and / or in a Parks & Recreation environment is preferred.
  • A combination of education, training, and experience that provide the knowledge, skills, and abilities for this position may be considered.
  • Employee must have a valid State of Alaska Driver's License. Must have and maintain a good driving record.
  • WORKING CONDITIONS : Primary work environment will be in an office setting in an ice arena, but may also include parks, campgrounds or other locations as necessary. This work involves frequent exposure to extreme temperatures and weather conditions. Temperatures can range from -40 degrees to 85 degrees. Employee may be exposed to significant levels of noise within the Parks, Campgrounds and in the Soldotna Regional Sports Complex wherein the use of chemicals such as Freon ®, ethylene glycol, liquefied propane gas and urea is common. Safety equipment will be provided to protect employee from chemical, noise and other hazards.

    PHYSICAL DEMANDS : While performing the duties of this position the employee is regularly required to operate office equipment, see, hear and communicate orally. The employee is regularly required to sit, stand, walk, and reach with arms and use hands and fingers. Occasionally required to climb, balance, stoop, kneel, crouch, or crawl. The employee must be able to lift and / or move up to 40 pounds.

  • Regular employees serve a six month probationary period (police officers serve one year). After completing six month probationary period (or six months service for police officers) with a favorable evaluation, regular employees will be eligible for a step increase.
