Job Description
Under the limited supervision of the Administration and Services Commander, the Police Clerk performs office work of above-average difficulty and responsibility, and such work requires experience in general clerical and office procedures. This position is responsible for assisting the public in person and by telephone, receiving and processing citation and other payments, and filing and maintenance of police records.
Shift / Hours : Four hours per day, Monday through Friday; Twenty hours per week (generally); additional time as the job dictates.
Duties / Responsibilities
Essential Duties and Responsibilities :
- Receives and receipts funds for citations, bail, parking permits and other payments; notifies appropriate agencies of payee status updates if required.
- Respond to personal inquiries and assists citizens at the counter and by telephone regarding a variety of police matters.
- Receives and relays messages for police officers and command staff.
- Receives records requests in person, by fax, or by mail; Retrieves requested records and reviews for information that may not be legally released; redacts appropriate information prior to fulfilling records request.
- Scans documents related to police cases and attaches files to applicable cases; files cases appropriately.
- Answers telephone inquiries regarding citations, records requests, or other police business.
- Fulfills background check requests for other police departments, probation and parole, employers, and other county agencies.
- Collects and records statistics from domestic violence paperwork and provide information to command staff.
- Enters accident reports and submits reports to the Department of Transportation.
- Assists Records Custodian with annual payroll summary.
- Assists in the preparation of the annual report of the South Milwaukee Police Department.
- Maintains and troubleshoots department office equipment.
- In the absence of the full time Police Clerk, prepares claims of officers injured on duty; may assist with maintenance of records and data entry of payroll and attendance data.
- In the absence of the full time Police Clerk, assists in preparing invoices for approval by checking for accuracy, coding, and preparing purchase order requisitions and vouchers.
- Assists in updating the police department website.
- Serves as Notary Public.
- Receives training and serves as a back-up Public Safety Officer (dispatcher) as needed.
- Performs other related duties as assigned.
- Maintains prompt, predictable, and regular physical attendance.
