What are the responsibilities and job description for the PROMISE BISINESS MANAGER position at City of South Salt Lake?
The Promise South Salt Lake Business Manager works under the direction of the Promise Deputy Directors and Promise Director. This position manages Promise South Salt Lake human resources duties, assists with department finance needs, and provides support for all Promise South Salt Lake employees and programs.
ESSENTIAL RESPONSIBILITIES AND DUTIES
1.Collaborates with City HR and Finance departments to fulfill Promise South Salt Lake Human Resources duties.
1.1 Receives job applications, schedules interviews, and provides thorough applicant follow up.
1.2 Completes new hire paperwork and inputs employee information in City's Human Resource Information Systems including: background and drug screenings, Child Care Licensing (CCL), benefits enrollment, and e-verify.
1.3 Manages Office of Child Care Licensing account to ensure site and employee registration and annual renewal.
1.4 Conducts new hire onboarding.
1.5 Prepares job postings and ensures postings are updated across systems in a timely manner.
1.6 Manages department's payroll including: collecting and processing payroll bi-weekly, tracking accrual and usage of PTO by all FT employees, and processing personnel action notices.
1.7 Handles all offboarding processes including resignations, termination, and exit surveys.
1.8 Assists in processing financial records including Purchase Orders, receipts, and invoices in a timely manner.
1.9 Compiles time and efforts documentation from employees quarterly.
1.10 Supports survey and data collection and compilation process for grant reporting.
1.11 Implements proper feedback channels and processes according to Promise SSL's Feedback Culture structure and refers HR concerns to Promise SSL Director.
2. Represents Promise South Salt Lake with positivity and professionalism.
2.1 Acts as the public face of Promise SSL by maintaining consistent office hours, responding to inquiries, and creating a welcoming and inclusive environment.
2.2 Exhibits excellent professional communication and customer service skills.
2.3 Adheres to all City and Promise Department policies and codes.
2.4 Maintains constant communication with Promise Coordinators and administration.
2.5 Develops resources and opportunities through partnerships and maintains positive relationships
with City departments and partner organizations.
2.6 Checks Promise SSL mailbox and responds to calls, texts, voicemail, and email on a daily basis.
2.7 Maintains security of a high volume of confidential information.
3. Provides support for all Promise South Salt Lake meetings and events including, but not limited to:
3.1 Attends all appropriate meetings including: weekly check-ins and staff meetings, Promise Councils,
Wellness Committee meetings.
3.2 Attends all appropriate activities and events including: City events, family nights, and staff training
and events.
3.3 Builds an understanding of Promise programming through regular site visits and occasional program
coverage.
3.4 Assists with preparation and clean-up of Promise SSL meetings and events.
3.5 Ensure all office areas are clean and organized to prepare for tours, meetings, and events.
3.6 Update organization chart on a regular basis.
3.7 Creates and maintains historical files from Promise SSL Council, Coalition, and Committee meetings
and events.
4. Leads staff and volunteer recruitment and retention efforts.
4.1 Maintains working knowledge of recruitment and retention best practices.
4.2 Promotes Promise SSL open positions through online job boards, job fairs, social media and other
available opportunities.
4.3 Analyzes employee staffing data to inform targeted recruitment and retention efforts.
5. Other duties as assigned.
MINIMUM QUALIFICATIONS
EDUCATION, EXPERIENCE AND CERTIFICATIONS
? Bachelor's Degree or 4 years of relevant experience required or any equivalent combination of related
education and experience.
NECESSARY KNOWLEDGE, SKILLS AND ABILITIES
1. Knowledge of City programs, human resources services, and administrative procedures; adherence to
confidentiality standards.
2. Skills and techniques used in an office environment, i.e. word processing, spreadsheets, office
machine usage, and the operation of computers.
3. Ability to communicate effectively, verbally and in writing.
4. Ability to coordinate and direct varied activities at the same time.
5. Ability to establish and maintain effective working relationships with employees, supervisors, other
agencies, participants, and the general public.
6. Ability to plan and supervise the work of paid staff and volunteers.
7. Ability and willingness to gain and maintain Child Care Licensing (on the job training).
