Summary:
The City of Spanish Fort is accepting applications for the position of Assistant City Clerk. Under the guidance of the City Clerk, the Assistant City Clerk performs administrative and financial duties. Duties will include assisting in the preparation and maintenance of official City documents, including meeting minutes, ordinances, resolutions, and contracts; providing information to the public; assisting the City Clerk in responding to inquiries and requests for information in a timely manner; supporting the organization and coordination of City meetings and events; serving as staff liaison to the Junior City Council; and helping maintain organized files and records management systems. Under direction of the City Clerk, this position will also administer payroll for the City of Spanish Fort. Duties will include processing and managing payroll tasks for the City including calculating wages, deducting taxes and other withholdings, issuing paychecks or direct deposits, maintaining accurate payroll records, ensuring compliance with payroll regulations and policies and preparing monthly/quarterly/yearly tax reports. Duties will also include assisting employees with insurance matters, administering the City’s Health insurance program, assisting the City Clerk with Human Resource matters and other duties as assigned.
Minimum Qualifications: Must possess and maintain a valid Alabama driver’s license and be insurable by the City’s Insurance Provider. Experience in payroll/HR is highly preferred. Candidates must possess a high school diploma or equivalent. Willing to work overtime and flexible hours.
Good knowledge of office procedures, practices, systems and equipment; good knowledge of business English, spelling and arithmetic; good knowledge of municipal organization, statutes and ordinances or ability to readily acquire such knowledge; good knowledge of clerical accounting practices; good knowledge of the operation of modern office equipment, including computers; ability to accurately type and perform data entry at a reasonable rate of speed from copy, rough draft, and various sources and forms; ability to write legibly; ability to make visual and arithmetic determinations and computations rapidly and accurately; ability to deal with the public courteously and tactfully; ability to convey concise and accurate explanations of policies and procedures; ability to make minor decisions in accordance with laws and regulations and apply them to work problems; ability to plan and direct the work of others; ability to establish and maintain effective working relationships with public officials, employees and the general public.
Rate of Pay: Salary to be determined by qualifications and experience. Minimum starting salary is $24.05 per hour, depending on experience. The City of Spanish Fort offers excellent benefits to full time employees working a minimum of 40 hours per week including: health and dental insurance for the individuals and assistance with family coverage, state retirement, sick and vacation leave, paid holidays, and personal days.
