Job Description
ESSENTIAL DUTIES AND RESPONSIBILITIES
1. Provide good customer service to both internal and external customers; maintain positive and effective working relationships with other City employees (especially members of their own team), and have regular and reliable attendance that is non-disruptive.
2. Prepare the traffic docket for arraignments.
3. Set up and collect time payments on fines and costs assessed by the District Judge or the prosecutor(s).
4. Monitor time payments for delinquencies and issue warrants for individuals who fail to pay on their time payment account.
5. Clerical - Maintain all vital information for future reference in accordance with state law. Type various forms and other miscellaneous orders.
6. File defendant paperwork in time payment files for defendants that have existing time payment accounts.
7. Prepare new folders for defendants that do not have an existing time payment account and file all relevant information in the file.
8. Public Information and Services - Answer phone and have personal contact regarding court operations.
9. Apply cash bonds to defendant cases after the case is disposed of an arraignment or trial date.
10. Prepare bond forfeitures and set up bond hearings.
11. Orders to Seal – When a petition to seal is filed, check to see if the defendant qualifies for their record to be sealed and prepare orders. Review petitions and orders to seal and once an order is entered, make sure all parties receive a copy in a timely manner.
15.Must cross-train with other Division Chief positions and be able to be assume their duties in their absence. Act on behalf of the Chief Deputy Court Clerk or Court Clerk in their absence or as needed.
16.Perform other duties as required or assigned.
SUPERVISION RESPONSIBILITIES
Directly supervises three to four employees in the department. Carries out supervisory responsibilities in accordance with the City’s policies and applicable laws. Responsibilities include interviewing, and training employees; planning, assigning, and directing work; appraising performance, rewarding employees; addressing complaints and resolving problems.
EDUCATION AND EXPERIENCE
High school or GED, plus specialized schooling and/or on the job education in a specific skill area; e.g. data processing, clerical/administrative, equipment operation, etc., plus 2 years related experience and/or training, and 1 to 6 months related management experience, or equivalent combination of education and experience.
CERTIFICATES, LICENSES, REGISTRATIONS
Must be able to obtain and maintain certification through the Arkansas District Court Clerks Association and be able to obtain license as a Notary Public. Must be able to pass FBI criminal background fingerprint check and have the ability to comply with state and federal requirements for criminal justice information security standards and obtain necessary certifications.

Regular contacts within the department and with other departments as needed.
USE OF MACHINES, EQUIPMENT AND/OR COMPUTERS
Must be proficient in the use of a personal computer, Microsoft Office Suite and standard office equipment.

Ability to utilize both internal and external resources to obtain information and data necessary to carry out routine assignments and special projects. Must have ability to establish and maintain effective working relationships with management and staff. Must be able to effectively communicate information and respond to questions with customers, clients, general public and other employees of the organization. Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions and decimals. Ability to compute rate, ratio, and percent and to prepare and interpret bar graphs. Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to deal with problems involving several known variables in situations of a routine nature.
