What are the responsibilities and job description for the Part Time Administrative Assistant I position at City of Sterling?
Perform routine administrative and clerical assignments in support of department/division operations; has frequent contact with customers, citizens, and staff; works in a small office environment which handles and performs a number of administrative functions or programs.
We have two open positions for this role. The job will remain open until filled.
Under direct supervision of the department director or division superintendent, the Administrative Assistant I operates within the City of Sterling’s policies/procedures and quality standards while performing the following essential functions and responsibilities:
- Demonstrates continuous effort to improve operations, decrease turnaround times, streamline work processes, and work cooperatively and jointly to provide quality seamless customer service;
- Keeps supervisory personnel informed of details affecting office management decisions;
- Enters data into records for department/division; files data in appropriate filing systems;
- Answer and direct incoming calls to the appropriate department with accuracy and professionalism.
- Maintain a strong understanding of each department’s functions and leadership structure.
- Process outgoing mail efficiently and ensure incoming mail is distributed correctly and securely.
- Deals with the public in a cordial, tactful and professional manner which serves to maintain and develop effective working relationships with clientele. Maintain customer service expectations of the department when dealing with customers or fellow employees either in person or on phone;
- Exercises discretion in handling concerns related to the department/division in the absence of the supervisor;
- Follows all applicable safety rules and regulations.
- Performs other related functions as otherwise assigned, delegated or required by the department director or other supervisory personnel.
Knowledge of:
- Policies, procedures, and rules relative to the clerical field;
- General office procedures sufficient to be able to ensure proper operation;
- Standard customer service delivery practices and procedures sufficient to be able to process various types of contacts associated with customer service duties;
- Phone systems, radio systems, computers, and electronic data processing.
EDUCATION, EXPERIENCE AND TRAINING:
Education: High School or G.E.D.
Experience: One (1) year of responsible clerical administrative support experience.

Special Requirements:
Possession of the appropriate CO operator's license for the type of City owned vehicle which the employee may operate in the scope of employment.
