Summary
As a confidential Administrative Assistant, you will be essential in supporting daily office operations and ensuring efficient administrative processes. Reporting to the Fire Chief, you will utilize your core skills in computer literacy, organizational abilities, and customer service to manage tasks such as data entry, filing, and calendar management. Your proficiency in Microsoft Office and experience with payroll systems like ADP and Aladtec will enhance your effectiveness in this role. JOB RESPONSIBILITIES:
Serves as primary clerical/administrative support to the Department Director.
Responsible for providing excellent customer service in person and via telephone, communicating in a timely and professional manner with citizens, visitors, city employees, vendors, contractors, applicants, and the public, representing the best interest of the city, anticipating needs, and resolving customer service inquiries.
Completes numerous administrative services by scheduling appointments, preparing reports, maintaining office supplies, completing clerical and secretarial duties.
Manage the flow of information for the Fire Department, answer incoming calls, route calls to the correct office or person, distributing messages within the office and other departments, assisting customers by phone and making calls for the department.
Prepare monthly reports for the Fire Chief as requested.
Order necessary materials and supplies for the department.
Obtain necessary purchase orders for materials ordered and prepare invoices for billing.
Knowledge of ADP for payroll and maintain records, including employee leave balances.
Coordinate paperwork with (CMS) insurance billing companies regarding claims.
QA medical records for billing submission requirements.
Process ambulance billing payments.
Assist the ambulance billing office in a timely manner with inquires and/or questions.
Able to follow HIPPA rules and regulations and maintain patient confidentiality.
Maintain privacy and security for Fire Investigations.
Responsible for record retention procedures.
Process public records requests.
Maintain Fire Department files, digital and paper.
Operate office equipment.
Performs all other duties as assigned.
High School diploma or general education degree (GED), and one (1) to three (3) years related experience and/or training; or equivalent combination of education and experience.
Proficiency in Microsoft Word and Excel
Computer and Software programs (BS&A, ADP, Aladtec) preferred.
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and repair manuals. Ability to author routine reports and correspondence. Ability to effectively speak read and understand English language.
You must possess a valid driver’s license with an acceptable driving record.
Must be eligible to work in the United States.
