What are the responsibilities and job description for the Administrative Assistant - Road Department position at Portage County Ohio?
JOB OBJECTIVES: Incumbent is responsible for performing various clerical, secretarial, and record-keeping duties. Under general supervision of General Superintendent.
ESSENTIAL JOB FUNCTIONS:
- Performing bookkeeping and record maintenance functions for the Road Department, including tracking project costs, maintaining records, files and ledgers, and receiving time sheets from the Road Crew Foremen.
- Reviews Road Department payroll information and submits for processing.
- Prepares personnel related correspondence documents for General Superintendent and Foremen.
- Answering phone calls, taking service requests and completing work order forms.
- Processing and managing the work order and daily crew activity systems.
- Informing public and governmental agencies of construction project details and any road closures.
- Preparing, maintaining, and coordinating the vacation schedule and overtime log for the Road Crew and Traffic Safety Department.
- Prepares invoices for salt sales and drive pipes and collects money from customers for drive culverts, prints, copies, etc.
- Collects incident reports and initiates insurance claims.
- Performing a variety of secretarial and clerical duties.
- Preparing various reports.
NON-ESSENTIAL JOB FUNCTIONS:
Performs related Essential and Non-Essential functions as needed.
JOB REQUIREMENTS AND DIFFICULTY OF WORK
Equipment: Incumbent uses the following equipment: personal computer, word processor, typewriter, adding machine, fax machine, copier, and radio communications system.
Critical Skills/Expertise:
- Knowledge of computers and ability to type.
- Knowledge of Microsoft Office with emphasis on Microsoft Word and Microsoft Excel.
- Ability to perform mathematical calculations efficiently and accurately.
- Ability to read and interpret data and information.
- Ability to communicate effectively, both orally and in writing.
- Ability to work independently and maintain confidentiality.
