PRIMARY PURPOSE :
Position located in the Finance Department. A position in which an employee supports all Finance positions performing clerical tasks including, but not limited to processing and recording transactions, preparing, and reviewing reports and budgets, communication with vendors and other departments, filing, and other duties, as needed in accordance with established procedures.

Work is performed under administrative directive and under direct supervision and often requiring independent decision-making. Reports directly to the Finance Director. The Finance Director establishes work priorities and work assignments.

ESSENTIAL FUNCTIONS, DUTIES AND RESPONSIBILITIES :
- Providing support to the Finance Department
- Performing basic office tasks, including, but not limited to filing, data entry, answering phones, scanning, etc.
- Managing access to users for software / applications, as applicable.
- Processing requests for purchase orders. Manage open orders during the fiscal year.
- Handling communications with vendors and other departments via phone, email, and in-person.
- Perform standard documentation and processing related to accounts payable and receivable.
- Add new vendors and keep information / files up to date.
- Processing and monitoring transactions (payments, deposits, claims, and others as needed).
- Preparing financial reports.
- Assisting with audits, fact checks, and resolving discrepancies.
- Conduct research by gathering information from files and prepare documenting paperwork or forms as needed.
- Dispense requested supplies and requisition replacements for depleted stocks.
- Maintain and update computerized or hard copy records.
- Other duties, as required.
KNOWLEDGE, SKILLS, AND ABILITIES :

MINIMUM QUALIFICATIONS :
EDUCATION AND TRAINING
1. Associate degree in Business or Finance.
2. Four (4) years of budget accounting support experience involving some financial reporting, or payroll duties, or any combination of training or experience of progressive responsible coordination of various activities totaling (4) years.
3. Proof of citizenship of the United States or alien work status documents pursuant to Federal Immigration laws required.
4. Proficiency in English language and a good understanding on the use of the Spanish language.
5. The ability to compose correspondence, type accurately; to locate, compile, and organize information to maintain accurate records; check documents for accuracy and completeness.
6. Proficient in electronic, computer technology and software applications utilized by the City of Sunland Park.
LICENSE AND CERTIFICATES
Must hold or be able to obtain a vehicle driver’s license as per City of Sunland Park Policy.
